A member of C-Suite is seeking a flexible, highly organized and proactive Personal Assistant to provide support for a variety of personal tasks. The ideal candidate will possess exceptional communication and follow-up skills and be adept at managing various personal and administrative tasks. This individual should have a keen eye for details, be able to anticipate needs, travel with little notice and be able to pivot based on shifting priorities. The primary responsibilities include assistance with financial matters, property maintenance, and being the go-to/all-encompassing person for current staff.

Key Responsibilities

Financial Management:

  • Manage and organize financial records, including bank statements, invoices, and receipts.
  • Prepare and process bill payments in a timely manner, ensuring accuracy and compliance with financial protocols.
  • Liaise with financial institutions and advisors to streamline financial transactions.

Property Oversight:

  • Supervise and coordinate maintenance and repairs for multiple properties.
  • Oversee property staff and vendors to ensure the highest standard of maintenance.
  • Manage property-related finances, including property taxes, insurance, and utility payments.

Travel Coordination:

  • Arrange and coordinate travel itineraries, including flights, accommodations, and ground transportation.
  • Anticipate and address any travel-related issues or changes promptly.
  • Provide detailed travel briefs and support documentation.

Calendar Management:

  • Maintain and organize their calendar, including personal and professional commitments.
  • Schedule appointments, meetings, and events, ensuring effective time management.

Event Planning:

  • Coordinate and organize personal events, gatherings, and celebrations.
  • Manage invitations, RSVPs, and all logistical details for events.

Confidentiality and Discretion:

  • Uphold the highest level of confidentiality regarding personal and professional matters.
  • Exercise discretion in handling sensitive information and situations.

Miscellaneous Tasks:

  • Run personal errands, as needed.
  • Research and provide recommendations on various personal and professional matters.
  • Order wine, tracking to ensure delivery.


  • Proven experience as a Personal Assistant.
  • Have a vehicle and be willing and available to travel between Boston and NH Seacoast. Also be willing to travel to the west coast if needed.
  • Strong organizational and time-management skills.
  • Excellent written and verbal communication skills.
  • Ability to handle multiple tasks simultaneously and prioritize effectively.
  • Discretion and ability to maintain confidentiality.
  • Proficiency in using relevant software and tools for financial management and scheduling.
  • Proficiency in using technology.
  • Flexibility and willingness to adapt to changing priorities and responsibilities.
