The Events Assistant is responsible for assisting with the planning of internal and client events. The ideal candidate holds a bachelor’s degree, is detail-oriented, has successfully worked on events in a law firm or similar setting, and has a great deal of self-sufficiency in accomplishing their duties.
Duties & Responsibilities:
Support planning, implementing and conducting post-event activities for the firm’s internal and client events.
Provide onsite events support, coordinating related logistics.
Ship collateral, giveaways and other events-related materials for events.
Update internal tools including the Events Calendar.
Use the firm’s database, InterAction to create event mailing lists and update contacts as needed.
Use the firm’s email management system (Vuture) to edit and send email invitations.
Purchase and distribute client gifts as well as promotional items.
Arrange for production of event materials, such as name badges and signage.
Collaborate with the firm’s Design Studio to create email invitations; oversee design and content.
Oversee set-up of conference space and audio-visual logistics, working with various IT departments and vendors, specifically for in-office events.
Assist with the planning of special dinners, receptions and other social gatherings offsite and in-office.
Assist with coordinating and scheduling of dining reservation requests and providing restaurant recommendations.
Attend events, as appropriate, and assist with on-site logistics including all on-site hospitality, audio-visual and other logistics.
Process payments and invoices, and assist with reconciling corporate credit cards.
Any other ad hoc duties as reasonably requested.
Qualifications:
Education: 4-year college degree preferred.
Experience: 0-3 years of event planning or administrative experience, preferably in a law firm or professional services environment.
Skills and Abilities:
Good interpersonal skills with polite, professional and positive manner.
Strong organizational, analytical, written, verbal and project management skills required.
Ability to build strong relationships with internal and external clients as well as vendors.
Ability to work as a team player in a collaborative organization.
Thrive under pressure and work well in a fast-paced environment.
Passion for event production/execution and logistics.
Detail-oriented and organized.
Must be available to work evenings and weekends.
Must be highly skilled in MS Suite – Excel and PowerPoint.
Experience with InterAction and marketing-related databases preferred (but not necessary).
Ability to learn new skills as they become necessary, including new software.
