THE ROLE IN A NUTSHELL

We are looking for a skilled and dedicated professional with significant amount of experience to become an Executive Assistant at Floating Point Group.

You will be an indispensable actor operating between our executives, clients and staff. You will have broad control over calendar and event management, office administration, and culture and well-being.

What you will be doing.

Provide administrative support for two or more of the organization’s executives, requiring discretion, confidentiality, a good understanding of technical and business vocabulary, and a detailed knowledge of the organization's operations, procedures, and people.

Executive Support

  • Act as the point of contact among x2 senior executives and be an intermediary for their relations with employees, clients and other external partners
  • Manage inbox ensuring emails are vetted, prioritized and responded in a timely manner
  • Manage information flow in a timely and accurate manner
  • Manage calendars and set up meetings
  • Arrange and organize travel - booking travel, including flights, transportation, and lodging. Equip your Exec with a detailed travel itinerary so they know where and when to be at any given time during their trip. Provide your Exec with a few options to fill any down time during their business trip as well. You’re the life-support system behind your exec’s jam-packed business trip!
  • Research on various administrative requirements to support your Executive on ad-hoc asks

Team Support

  • HR related: Provide up-to-date understanding of benefit and employment laws and the ability to ensure employee handbooks, policies, and procedures are up to date.
  • HR related: Process all benefit plan changes and enrollments in a confidential, efficient, and timely manner.
  • Database management: Maintain Databases like CRMs, HRIS, etc.
  • Reporting: Rack daily expenses and prepare weekly, monthly or quarterly reports
  • Finance and Accounting: Works with team members and finance/accounting to progress approval and payment of invoices with vendor partners
  • Communications: Format information for internal and external communication – memos, emails, presentations, reports. Take minutes during meetings
  • Visitor management - granting and coordinating visitors access
  • Event management - planning and logistics for team events, dinners, annual event, etc.

Office Management and Administration

  • Oversee the performance of service providers relevant to the maintenance of the office(s)
  • Assists and manages various elements of annual enrollment, life insurance claims, billing, arrears, and COBRA.
  • Act as an office manager by keeping up with office supply and pantry inventory
  • Screen and direct phone calls and distribute correspondence
  • Organize and maintain the office filing system

Here’s some of the things you do/ have done to a consistently high standard:

  • Demonstrable work experience as an Executive Assistant, Personal Assistant or similar role for a minimum of x5 years
  • Excellent use of Google suite, Excel, PowerPoint
  • Outstanding organizational and time management skills
  • Familiarity with office gadgets and applications
  • Excellent verbal and written communications skills
  • Discretion and confidentiality
