WHAT YOU WILL DO:

The Order Management Associate should be both pro-active and thorough in their approach to their tasks, always ensuring a high level of attention to detail, whilst demonstrating flexibility to incoming high-priority tasks and ability to manage workload accordingly.

KEY RESPONSIBILITIES:

  • Generate vendor purchase orders accurately and efficiently based on client orders.
  • Ensure that vendor POs include all necessary details, such as product specifications, quantities, and delivery timelines.
  • Monitor and track inbound shipments from vendors to ensure timely and accurate delivery.
  • Collaborate with project teams to address any potential delays or issues in the shipment process.
  • Generate picking tickets for warehouse staff based on project timelines.
  • Create logistics tickets for outbound shipments to clients.
  • Pay meticulous attention to details in all stages of order processing to minimize errors.
  • Conduct thorough quality checks to guarantee that the correct products are shipped to clients.
  • Prioritize tasks based on urgency and importance to meet tight deadlines.
  • Efficiently manage a high volume of orders while ensuring accuracy and quality.
  • Manage multiple client orders simultaneously and adapt quickly to changes in order specifications, shipment schedules, or client requests.
  • Troubleshoot and resolve issues promptly to maintain smooth order flow.
  • Respond promptly to client inquiries and provide updates on order status.
  • Stay informed about product pricing, discounts, and promotions from vendors.
  • Identify opportunities to negotiate better terms with vendors and save costs.
  • Negotiate favorable terms, discounts, or bulk purchase arrangements to optimize profitability.

ESSENTIAL CRITERIA:

  • Experience in an order management or similar role; with a firm knowledge of the supply chain process
  • An understanding of the commercials involved in buying and reselling hardware
  • Experience using procurement software
  • Strong numeracy skills and analytical ability
  • Basic to Intermediate Microsoft Excel Knowledge
  • Excellent time management skills, with ability to manage workload and prioritize tasks
  • Exceptional attention to detail and level of meticulousness
  • Strong communication skills
  • A proactive problem solver, who can think on their feet.
  • Willingness to work as part of a team in a fast moving, growing global company

DESIRABLE CRITERIA:

  • Experience of Audio Visual / Video Conferencing and networking environments
  • Experience with Cisco CCW, Sage X3 and Jira a plus
  • Can drive progress positively and effectively, keeping all stakeholders informed.
  • Can maintain a high standard of work, even when working under pressure and handling multiple issues.
