The Role:

The Clinical Operations Specialist is a key driver of operational excellence for the clinical operations team. This role provides critical support to clinical leadership, manages complex projects, and ensures that policies, procedures, and resources enable high-quality patient care and efficient team operations. The ideal candidate thrives in a fast-paced environment, has strong problem-solving skills, and is passionate about optimizing clinical workflows, patient experience, and cross-functional collaboration. This is a hands-on, highly visible role that combines administrative support, operational project management, and process ownership, making a direct impact on the success of the clinical operations team.

Essential Functions:

  • Own the lifecycle of clinical and patient engagement policies, procedures, and job aids, ensuring they are accurate, accessible, and compliant.
  • Lead annual policy review cycles by coordinating subject matter experts and managing updates across teams.
  • Partner with Learning & Development to maintain centralized, user-friendly clinical resources.
  • Drive adoption of policies and best practices across clinical teams.
  • Provide comprehensive administrative and operational support to clinical leadership, including scheduling, communications, and reporting.
  • Coordinate patient calendars, clinical team communications, and operational tasks to ensure seamless daily functioning.
  • Collaborate with Care Program Managers to track and complete key operational initiatives.
  • Prepare, analyze, and update weekly Clinical KPI dashboards to identify trends and opportunities for improvement.
  • Lead and coordinate projects aimed at improving clinical efficiency, patient experience, and key performance indicators.
  • Serve as a liaison across cross-functional teams to implement operational changes and workflow enhancements.
  • Monitor and report on project outcomes, ensuring initiatives are delivered on time and meet business objectives.
  • Support organizational committees by preparing materials, tracking outcomes, and driving follow-up on action items.
  • Partner with the Patient Experience Manager to triage, track, and resolve patient escalations promptly and effectively.
  • Maintain and optimize clinical team content libraries, EMR documentation, and operational systems.
  • Leverage telehealth platforms, EMRs (Athena preferred), and project management tools to enhance team efficiency.
  • Provide insights and recommendations based on clinical metrics, patient experience data, and operational trends.

Qualifications:

  • Associate’s or Bachelor’s degree preferred (Healthcare Administration, Public Health, or related field).
  • 3+ years of experience in healthcare or clinical operations, project coordination, or process improvement roles.
  • Demonstrated proficiency with EMRs, telehealth platforms, Google Workspace, and project management tools (Asana, Monday.com, etc.).
  • Strong organizational, analytical, and time-management skills with exceptional attention to detail.
  • Excellent written and verbal communication, interpersonal, and collaboration skills.
  • Ability to work independently, manage multiple priorities, and adapt in a fast-paced, high-growth environment.
  • Knowledge of healthcare regulations, compliance standards, patient safety, and quality assurance practices.
  • Experience supporting change management initiatives or strategic operational improvements.
  • Strong problem-solving mindset with a proactive, can-do attitude.

Pay Range Details

The pay range(s) below are provided in compliance with state specific laws. Pay ranges may be different in other locations. Exact compensation may vary based on skills, experience, and location.

Role: $26 - $34/hour depending on experience 

Offer of employment is contingent upon successful completion of a background check, drug screen, and all required licensure, credentialing, and related documentation.
