The Basics:

Tanium is looking for an experienced Workplace Manager to oversee office operations, both direct and serviced, within the Americas. This person will report to the Director of Global Workplace and Real Estate and will lead a team of (5) Workplace Coordinators located in various time zones within the U.S with likely expansion into new markets in US, Canada, and LATAM. This person will be responsible for keeping our Workplace Operations team and offices running smoothly through management of daily operations to include facilities systems maintenance programs, service vendor management, onsite event planning and execution, move management, and oversight of alterations and construction. This role will also be responsible for the development and maintenance of the annual Workplace budget forecasts for the Americas and a basic level of financial acumen is requiredThis role is integral in developing and maintaining the Tanium Real Estate Initiatives, culture and supports engagement events within and outside of the physical office. This is a highly collaborative role deeply integrated with our Real Estate, Construction, IT, AV, and Security support service teams. A customer service mindset is a must when working with our team members in the office. This role will be office-based per our Hybrid Policy; however, travel should be expected.  

This is a hybrid position, which will require in person attendance several days each week in one of the following locations: Addison, TX; Bellevue, WA; Durham, NC; or Emeryville, CA.

What you’ll do:

  • Through your leadership, ensure all aspects of our Americas Workplaces are considered industry best- in class with limited day-to-day oversight from leadership 
  • Provide daily team and office support for our Americas workplaces  
  • Assist in planning, preparing, and executing office related events within the Americas offices  
  • Ability to create, standardize, and hold Workplace Coordinator team accountable for Workplace SOP’s throughout the Americas offices 
  • Ensure that the offices are kept tidy and presentable for our team members and visitors 
  • Provide special attention and support for Executive Leadership, Board, and Executive Briefing meetings within our Americas Workplaces 
  • Collaborate with Health & Safety teams to ensure office health and safety protocols are followed, to include Security access control requirements 
  • Collaborate with internal AV team to ensure systems are functioning and maintenance is scheduled appropriately. 
  • Assist with onboarding and off-boarding tasks for incoming and outgoing employees 
  • Facilitate timely rent payment and other Workplace related billing required. 
  • Manage relationships with vendors, service providers and building management 
  • Field maintenance and service requests to include coordination of repairs with building engineers and various vendors 
  • Support administrative billing processes 
  • Support of each office’s local food & amenity programs 
  • Oversee shipping, receiving and logistics operations for all US locations 
  • Play a key role in all Americas Capital Projects and Real Estate initiatives to include workplace design, construction, move management, furniture design/installation, and office opening/closure processes. Pending size of initiative, this role may entail autonomous leadership of these initiatives. 
  • Accurately maintain and track workplace operations budgets and submit appropriate purchase requests when necessary 
  • Support and manage office compliance programs related to environmental sustainability and security 
  • Develop Americas Workplace organization to scale, aligning with the headcount growth at Tanium 
  • Develop and assign appropriate roles and responsibilities for direct reports, aligning with various initiatives and programs 

We’re looking for someone with:

  • BA/BS and/or equivalent work experience preferred. 
  • 5+ years of office management and administrative experience 
  • Authorized to work and travel in the US 
  • Team management experience with a focus on managing remote team members across time zones 
  • Capital project experience with a clear understanding of the design and construction process in the US 
  • Ability to work on adjusted schedule as needs arise 
  • Computer skills to include Office 365, Word, Excel, PowerPoint, and general experience with office management software  
  • Basic proficiency in AutoCAD preferred 
  • Understanding of US shipping / receiving regulations and logistics 
  • Finance acumen to include budget upkeep, OpEx and CapEx accounting  
  • Experience supporting both office as well as remote worker environments; experience working in Hybrid environment is a plus 
  • Excellent verbal communication 
  • Experience presenting to Functional Leadership and C-Suite preferred 
  • Strong vendor management and stakeholder collaboration skills 
  • Formal program development experience preferred 
  • Ability to act autonomously without daily guidance 
  • Ability to keep up and adjust in a fast paced, ever changing work environment 
  • Project Management experience preferred 
  • Strong organizational skills 
  • Spanish fluency preferred, not required 
  • Independence, program ownership, proactivity, flexibility, dependability, and excellent organizational skills are a must.

What you’ll get

The annual base salary range for this full-time position is $85,000 - $250,000. This range is an estimate for what Tanium will pay a new hire. The actual annual base salary offered may be adjusted based on a variety of factors, including but not limited to, location, education, skills, training, and experience.
