Role Summary:
We are looking for an Administrator to assist the Finance Manager and work closely with Producer. You will be responsible to manage Production payment and Taxation, Office Admin & Procurement and verify Production reimbursement, Master Data setup, handle month-end closing and assist in the smooth running of the finance function within the company. You will be the face of the organization is fully accountable for all office related matters, to ensure organisational effectiveness, efficiency and safety. Administrator is responsible for developing intra-office communication protocols, streamlining administrative procedures, inventory control, office staff supervision and task delegation.
Key Areas of Responsibility:
Finance responsibilities
- Manage Production Shoot Project related to Payment documents, issue Withholding Tax certificate, verify corrective of Tax Invoice/Receipt and also verify Production reimbursement
- Good Assist in month end closing, ensuring timely, accurate reporting and Taxation in line with requirements as well as reconciliations
- Prepare and manage manual Cheque payment
- Liaise with SSC on all financials matters and resolve issues
- Year round liaison with auditors, bankers as well as relevant authorities to ensure the timely finalisation of accounts and filings as appropriate
- Ad hoc financial projects when required
Support to the General Manager
- Coordinate schedules and appointments
- Accountable for all travel arrangements including booking of flights and accommodation and any further coordination required
Office Management
- Maintain a safe and secure working environment across all the offices
- Point person for maintenance, mailing, shipping, supplies, equipment, bills and errands
- Manage contract and price negotiations with office vendors and service providers
- Responsible for managing office services by ensuring office operations and procedures are organized, correspondences are controlled, filing systems are designed, supply requisitions are reviewed and approved, arrange for courier service and that clerical functions are properly assigned and monitored
- Oversee office supplies inventory, review and approve office supply acquisitions
- Raise Purchase Orders for office expenses, etc as well as work with Client Services/Producers to set up vendors and perform checking to ensure compliance before PO issuance
- Assist in setting up of account, machine and onboarding for new joiners
- Perform other job-related duties as assigned
Requirements:
- Proven office management, administrative or assistant experience
- Proficient in MS Office especially in MS Excel
- Knowledge of office management responsibilities, systems and procedures
- Excellent time management skills and ability to multi-task and prioritise work
- Attention to detail and problem solving skills
- Excellent written and verbal communication skills
- Strong organizational and planning skills
- Experience in Production shoot management & Finance function
- Strong transactional accounting and system skills
- Systematic thinking & well management within limited time
- Knowledge in Taxation
