Facilities and Engineering
- Ensure efficient operations and maintenance, availability, reliability and performance of all engineering systems of Hogarth office including MEPF, Security, Auxiliary, BMS and Sanitary systems.
- Perform daily equipment inspection including MEPF, Mechanical HVAC systems, electrical and UPS system, Ventilation and Fire suppression and detection. Auxiliary systems – VESDA, CCTV, Access Control, WLD, BMS systems. – Checklists and condition parameters.
- Provide regular update to Facilities Manager on upcoming and deferred preventive maintenance, work orders, equipment status, repairs and histories, and vendor reports.
- Perform state assessments on aspects, equipment, or troubleshooting with the team and analyze results to be able to identify and establish rectification and maintenance plan.
- Perform Inspection, Testing and Maintenance Operations tasks.
- Coordinate, intercommunicate and inspect works of vendors including 56 week work calendar, maintenance, performance and evaluation of vendors.
- Assist on implementing facility operations & process modifications for increased productivity and cost control and reduction.
- Asset Management – assist on handling property including asset tagging, inventory; checking purchase orders and delivery received, documentation and validating tracking system.
- Coordinates space management including collocation, movement and tracking
- Coordinates all facilities activities with facilities team for all service requests, concerns and ensures issues are addressed and resolved.
- Explore alternative options for supplies, products and services to maintain high standards at Hogarth office and to reduce expenses.
- Response to any facilities and critical equipment related incident with the technicians including emergencies or BCP if needed.
- Performs a daily walk through and inspection of facilities for defects and schedule repairs.
- Performs other duties as required.
Environmental, Health and Safety (HSE)
- As a HSE coordinator by identifying and correction of safety issues, conducting root cause analysis, and corrective actions.
- Maintaining and participating in Risk assessment, Emergency Preparedness, Recovery and BCP.
- Support Facilities manager with projects to ensure that Hogarth meets environmental, health, and safety standards both from DOLE and company policies.
- As Pollution Control Officer (PCO), secure approval from the Facilities Manager on all DENR EMB submissions and reporting and to ensure Hogarth is in compliance with all Hazardous waste management system. Tracks inventory, waste disposal, and ensuring compliance with waste management scheme of the Building.
- Assist during HSE audits and follow-up for closure of action items.
Energy and Sustainability
- Propose, implement and monitor energy conservation initiatives and impact to costs.
- Submit sustainability reports with analysis and recommendations to reduce energy consumption.
- Perform Energy Management Audit every month and provide statistical and analysis reports and recommendation.
Administration , Procurement and Vendor Management
- Assist the company’s day to day general services operations.
- Guarantee the company’s inventory of supplies including follow up from suppliers.
- Assist on Hospitality Services
- Make sure the availability lockers, furniture and devices for use by Hogarth employees.
- Monitors the operations of housekeeping and maintenance team.
- Support timely and precise administrative support for office events.
- Assist in monitoring budget and accrual of utilities, supplies, and maintenance.
- Track and maintain inventory of assets.
- Assist in procurement, operational CAPEX & OPEX budgets and actual spend.
- Assist in end to end purchasing process
- Co-ordinate with vendors on reconciliation of accounts.
- Assist in Procurement, Purchasing process and payments.
- Ensure Clinic Management reporting from Clinic Vendor is in compliance with DOLE standards.
- Any adhoc task as rqquired
Site Security
- Systematize the Security Team on any issues and requirements including BMS.
- Assess the site to be safer and efficient through continuous safety analysis.
- Coordinate facility security programs by developing procedures and practices.
- Process building access for employees, monitor access records, generate reports of access control and CCTV.
- Reconciliation of Access Cards and perform audit on a regular basis
- Perform monthly Self- Audit checklist of all security devices including CCTV recordings, ACS, Locks and Keys.
Transportation
- Monitor operations of shuttle services, review rostering and suggest changes of routes.
- Review available vehicles and make alternate arrangements & plan for ad hoc requirements if any.
Policy, Process and Procedures
- Propose improvement and strategies of Hogarth Facilities policies, guidelines, & procedures including streamlining of internal processes.
- Coordinate and liaise with LGU agencies, particularly DOLE, DENR, BFP and BESC to make sure that the company is in compliance to regulations.
Qualification
- 1-3 year experience, fresh grad can be considered.
- Any engineering background.
- Well versed in operation and maintenance of HVAC systems, Fire Pro and MEPF.
- Effective verbal and written communication skills both internal and external.
- Has experience in HSE.
