We are actively searching for a highly professional, self-motivated Administrative Assistant. This individual will provide general and complex support to multiple engineering leaders in a fast-paced, dynamic environment. 

The ideal candidate will be a strong brand ambassador, self-motivated, organized, and confident in their abilities as a professional team member. They will proactively engage with a cross-functional team to learn the business and master the expectations of the role. They will possess sound judgment and will be able to keep a firm grasp of the corporation’s ever-evolving goals, charters, priorities, key players, timelines, and needs. This is a 12-month contract position. 
 

Responsibilities: 

  • Partner closely with principal and key staff members to align team priorities  
  • Heavy calendar management  
  • Be an active participant of the cross-functional administrative team  
  • Validate, coordinate, and prep travel and executive meetings (including light catering)  
  • Attend staff meetings, track agendas, actions items, and goals to keep the team on course  
  • Prepare and edit correspondence, communications, briefs, presentations and other documents  
  • Conduct research, collect and analyze data to prepare reports and documents  
  • Organize and facilitate special events  
  • Manage procurement, expense reports, travel, and other approvals in a timely manner  
  • Co-ordinate and support aspects of project-based work including site management, budget, recruitment, and new employee on-boarding  
  • Regularly review operating practices and implement improvements  
  • Master a flexible work-style, leveraging business messaging applications, video conferencing, and multiple office locations  

Requirements: 

  • 5+ years of experience providing support to leaders in a fast-paced organization Organizational Skills- The ability to manage multiple tasks and priorities efficiently.
  • Communication Skills - Strong written and verbal communication skills to interact effectively with colleagues, clients, and vendors. 
  • Attention to Detail - Ensuring accuracy in all tasks, from data entry to document preparation.
  • Time Management - The ability to manage time effectively and meet deadlines. 
  • Discretion and Confidentiality - Handling sensitive information with care and maintaining confidentiality.
  • Technical Proficiency - Proficiency with office software and technology, including word processing, spreadsheets, and email.
  • Problem-Solving Skills - The ability to identify issues and find effective solutions. 
  • Adaptability - Being flexible and able to adapt to changing priorities and tasks. 
  • Professionalism - Maintaining a professional demeanor in all interactions and tasks.
  • Teamwork - The ability to work well with others and contribute to a positive team environment.
