About the Position

Dexis seeks a Project Assistant to support the five-year USAID/Mali Sariya Bato program. The project period of performance is February 14, 2024 to February 13, 2029. This is a full-time national position based in Bamako, Mali. 

 

Responsibilities

Administrative, Procurement, and Logistical Support  

  • Provide administrative assistance to the project team, including scheduling meetings, organizing events, and maintaining project documentation. 
  • Assist in the preparation and dissemination of project reports, presentations, and other materials as needed. 
  • Coordinate logistical arrangements for project activities, such as workshops, training sessions, and stakeholder meetings. 
  • Arrange travel and accommodation for project staff and participants, ensuring compliance with project policies and budgetary constraints. 
  • Assist in the procurement process by preparing procurement documents, such as requests for quotations (RFQs), requests for proposals (RFPs), and bid evaluation reports. 
  • Assist in coordinating with vendors and suppliers to obtain quotations, prepare comparative analysis, and ensure compliance with project procurement policies and procedures 

Database Management: 

  • Maintain project databases and filing systems, ensuring accurate and up-to-date information on project activities, expenditures, and outcomes. 
  • Support the monitoring and evaluation efforts by collecting and organizing data for reporting purposes. 

Communication and Outreach: 

  • Assist in the development and dissemination of communication materials, including newsletters, social media posts, and website updates, to raise awareness about the project's goals and achievements. 
  • Respond to inquiries from stakeholders, partners, and the public regarding project activities and initiatives. 

Meeting Support: 

  • Prepare meeting agendas, take minutes, and follow up on action items to ensure timely completion of tasks. 
  • Coordinate with internal and external stakeholders to schedule meetings and facilitate communication between team members. 

Capacity Building Support: 

  • Assist in the organization and delivery of capacity-building activities, such as training workshops and knowledge-sharing sessions, for project beneficiaries and stakeholders. 
  • Compile training materials, presentations, and resources for distribution to participants before and after training events. 

Documentation and Reporting: 

  • Support the documentation of project activities, including capturing lessons learned, success stories, and best practices for future reference. 
  • Assist in the preparation of donor reports, progress updates, and other project-related documentation as required. 

Team Collaboration: 

  • Collaborate closely with project team members to ensure smooth implementation of activities and effective communication across different project components. 
  • Contribute to team meetings, brainstorming sessions, and planning exercises to support the achievement of project objectives. 

 

Qualifications 

  • Bachelor's degree in a relevant field such as international development, economics, political science, public administration, or related disciplines. 
  • Prior experience providing administrative support in development projects or similar environments is desirable. Experience on USAID project is preferred. 
  • Strong organizational skills with the ability to prioritize tasks and manage multiple deadlines effectively. 
  • Excellent communication skills, both written and verbal, with proficiency in English and any local languages preferred. 
  • Proficiency in Microsoft Office suite (Word, Excel, PowerPoint) and experience with database management software is an advantage. 
  • Demonstrated ability to work collaboratively in a multicultural team environment and adapt to changing priorities and requirements. 
  • Commitment to the principles of transparency, accountability, and integrity in all aspects of work.

Communication et Sensibilisation : 

  • Aider à l'élaboration et à la diffusion de documents de communication, tels que des bulletins d'information, des publications sur les réseaux sociaux et des mises à jour du site Web, pour sensibiliser aux objectifs et aux réalisations du projet. 
  • Répondre aux demandes de renseignements des parties prenantes, des partenaires et du public concernant les activités et les initiatives du projet. 

Soutien aux Réunions : 

  • Préparer les ordres du jour des réunions, prendre des notes et assurer le suivi des actions à entreprendre pour garantir l'achèvement en temps voulu des tâches. 
  • Coordonner avec les parties prenantes internes et externes pour planifier les réunions et faciliter la communication entre les membres de l'équipe. 

Soutien au Renforcement des Capacités : 

  • Aider à l'organisation et à la réalisation d'activités de renforcement des capacités, telles que des ateliers de formation et des sessions de partage des connaissances, pour les bénéficiaires et les parties prenantes du projet. 
  • Compiler les documents de formation, les présentations et les ressources à distribuer aux participants avant et après les événements de formation. 

Documentation et Rapports : 

  • Soutenir la documentation des activités du projet, y compris la collecte des leçons apprises, des success stories et des meilleures pratiques pour référence future. 
  • Aider à la préparation des rapports donateurs, des mises à jour de progrès et d'autres documents liés au projet selon les besoins. 

Collaboration en Equipe : 

  • Collaborer étroitement avec les membres de l'équipe du projet pour assurer la mise en œuvre fluide des activités et une communication efficace entre les différents composants du projet. 
  • Contribuer aux réunions d'équipe, aux séances de remue-méninges et aux exercices de planification pour soutenir la réalisation des objectifs du projet. 

Qualifications : 

  • Licence dans un domaine pertinent tel que le développement international, sciences économiques, les sciences politiques, l'administration publique ou des disciplines connexes. 
  • Une expérience antérieure dans la fourniture d'un soutien administratif dans des projets de développement ou des environnements similaires est souhaitable. Une expérience sur les projet financés par USAID est préférable. 
  • Solides compétences organisationnelles avec la capacité de prioriser les tâches et de gérer plusieurs échéances efficacement. 
  • Excellentes compétences en communication, à la fois écrites et verbales, avec une maîtrise de l'anglais et de toute langue locale préférée. 
  • Maîtrise de la suite Microsoft Office (Word, Excel, PowerPoint) et expérience des logiciels de gestion de bases de données est un avantage.
