Your New Role:

We’re on the lookout for a Facilities Specialist to join our Warsaw office! In this role, you'll make sure our office runs smoothly and remains a great place to work. You'll handle everything from organizing office operations to ensuring everyone’s safety and comfort.

What's in It for You:

Imagine making a real impact on your workplace environment every day. You'll report to our Director of Facilities (EMEA & India) and your day-to-day responsibilities will include:

  • Managing front-desk services, security, postage, cleaning, recycling, parking, and meeting room bookings.
  • Keeping our office in top shape by organizing repairs and maintenance while adhering to health and safety standards.
  • Recommending cost-effective facilities operations and assisting in the selection of vendors.
  • Handling contracts and purchase orders for various services.
  • Ensuring health and safety protocols are followed and organizing necessary training for First Aid and Fire Wardens.
  • Keeping our pantry stocked with stationery, coffee, and other essentials.
  • Coordinating with the building manager for annual fire drills.
  • Helping new team members with access passes during onboarding.
  • Addressing any office-related questions from employees.
  • Collaborating with facility management vendors to review costs and service levels.
  • Managing invoices and resolving finance queries.
  • Providing support for office and remote employees in Poland as needed.
  • Assisting the Facilities Director with projects across the region.
  • Tackling general administrative tasks as required.

What You’ll Need to Succeed:

  • Prior experience in facilities management, including working with suppliers and landlords.
  • A knack for building strong relationships with key stakeholders.
  • Superb communication skills in both English and Polish.
  • The ability to work autonomously and as part of a team across various locations.
  • Proficiency with Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Excellent time management and organizational skills.

A Little More About You:

  • You have a high school diploma (or equivalent) or are certified in Facilities Management.
  • You’re proactive, independent, and enjoy making your work environment the best it can be.
