The Administration Manager is responsible for managing office operations, financial processes, HR and IT support, corporate secretarial coordination, and PR/event management. This role ensures smooth administrative functions, supports business operations, and provides direct assistance to the Project Director while liaising with internal teams and external stakeholders.

 

Responsibilities

Office Administration & IT Support:

  • Oversee day-to-day office operations, ensuring an efficient and well-organized work environment;
  • Manage office facilities, procurement of office supplies, IT equipment, and vendor contracts;
  • Ensure compliance with local office regulations, safety standards, and company policies;
  • Act as the primary contact for IT-related issues, coordinating with HQ IT teams for troubleshooting and ensuring smooth operation of IT infrastructure.

Finance Support:

  • Coordinate invoice processing, vendor payments, and office expense tracking;
  • Ensure timely processing of payments and financial transactions in compliance with local regulations;
  • Assist with financial reporting related to office operations.

Corporate Secretarial & Compliance Coordination:

  • Liaise between HQ Corporate Secretarial (Co-Sec) team and appointed local agents for compliance matters;
  • Ensure timely submission of statutory filings, business licenses, and other regulatory requirements through local agents;
  • Support board meetings, shareholder meetings, and maintain corporate records;
  • Assist in retrieving corporate documents for audits or internal use.

HR Administration & Employee Support:

  • Assist in local HR operations, including employee onboarding, contract administration, and benefits coordination;
  • Support payroll processing, leave tracking, and employee engagement initiatives in alignment with HQ HR policies;
  • Ensure compliance with local labor laws and company HR policies.

PR, Communications & Event Management:

  • Support corporate branding, public relations, and stakeholder engagement activities;
  • Organize corporate events, conferences, and business meetings;
  • Build and maintain relationships with government agencies, media, and industry stakeholders;
  • Assist in preparing bilingual reports, presentations, and public relations materials.

Executive Support to Project Director:

  • Provide administrative and logistical support to the Project Director, including scheduling meetings, preparing reports, and handling correspondence;
  • Assist in stakeholder engagement with government agencies, business partners, and investors.

 

 

Requirements

  • Bachelor’s degree in business administration, Finance, Human Resources, or a related field;
  • Minimum of 5 years in office administration, finance, HR, or corporate support roles;
  • Experience in the renewable energy sector is an advantage;
  • Fluency in Mandarin and English (spoken and written) is required;
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), accounting software, and HR management systems;
  • Strong organizational and multitasking skills;
  • Ability to manage financial and administrative processes with attention to detail;
  • Strong communication and interpersonal skills to liaise with internal teams and external partners;
  • Ability to handle confidential information with integrity and professionalism;
  • Proactive, self-motivated, and capable of working in a fast-paced environment.
