We are looking for a passionate and experienced Chief of Staff (COS) to join our team and help our CEO, Executive Team, and Board excel by helping improve effectiveness and efficiency among a number of verticals. The Chief of Staff will make a significant impact on the organization’s productivity, ensuring they are a trusted advisor to the CEO. They understand that as the company scales and changes, the role of Chief of Staff may change to reflect new priorities, and are able to take on a cross-functional and flexible role in the company.

Reporting to the CEO, the Chief of Staff will work on the following key areas:

Prioritization & Alignment

Act as ‘right hand’ to the CEO, helping to prioritize efforts, and provide support on important decisions.
Ensure communications amongst the Board, Executive Team, and CEO are aligned by providing clear reports, summaries, and communications about progress, goals and other information needed for effective discussions and decision making.
Connect with Department Leads to ensure important information is aligned with high-level goals and strategies.

Planning Processes

Provide support to the CEO and Executive Team during strategic planning, quarterly planning, and interim goal setting.
Oversee the planning process of the team by acting as an extension of the CEO by providing clear information, answering questions, and providing direction when required to team members.

Process and Decision Improvement

Assist CEO in making more informed decisions by working closely with Department Leads and employees to bring back important insights and information.
Help the CEO minimize distractions by addressing less important to-do list items.

Stakeholder Engagement & Meeting Preparation

Preparing documentation for both internal and external stakeholders including board packages,investor reporting, creditors requests, summary reports, gathering and analyzing metrics to present, key strategy templates, financial reports, company-wide communications or other.

Investor & Board Relations

Ensuring Investors and Board members have the resources and information to make informed decisions, participate in Board meetings, and strategy working sessions.
As an extension of the CEO, step in and assist with stakeholder meetings and investor meetings where the CEO is not available.
Build strong working relationships with the Board and the company’s Investors.

Fundraising Preparation

Aligning strategy and process for fundraising initiatives along with the executive team, the board of directors, and existing investors. Supporting the development of fundraising materials including the pitch deck, data room and other materials.

Special Projects

Leading and executing on special projects developed as identified by the Executive team that will help scale the company and lead to better effectiveness and efficiency. These could include business and corporate development, new market segments, testing new growth strategies, grant writing and more.

Qualifications

About You

You are based in Edmonton and are willing to spend significant in-person one-on-one time with our CEO.
You are able to travel regularly inside and outside of Canada.
You have 5-7 years of relevant experience in leadership, management consulting, or strategy experience.
You can demonstrate progressively increasing responsibility in previous roles that directly relate to the requirements of this role.
You have demonstrated tenured knowledge in strategic management, investor relations, venture capital, or project management, or a combination.
You have previous experience working directly with C-Suite, Executive Teams, Board Members, and Investors.
Comfortable building trust-based relationships with executive level principals while maintaining strength in convictions
Ability to understand and track the relationships and strategies most important to the company
Proactive in creating systems that enable good communication and processes amongst the team that hold leaders accountable
Track record of taking the initiative and delivering successful results in previous work projects
You have strong written and verbal communication skills.
You can demonstrate strong prioritization skills.
You excel in ambiguous and often-changing environments and are able to provide clear solutions when there does not seem to be a clear path.
You are empathetic, humble, and honest.
You are decisive and have strong organizational skills.
You can work across role types - from entry level to C-Suite - effectively and with kindness.

You have excellent skills in technology tools including Google Suite, Apple products, CRMs (Hubspot), KPI and metrics tools, data visualization tools, and project management softwares (Asana).
You have the ability to manage highly confidential and complex information with integrity and a high level of professionalism.

Bonus

Strong knowledge or prior exposure to biomedical information and the drug development industry.
Actively involved in your local startup or tech company community - either through meetups, coaching, volunteering or networking.
You are proficient at Mario Kart racing (or willing to learn).

NOTES:

The salary range for this role is C$135,000 - $165,000 per year.

Candidates for this role must be located in Edmonton and must be willing to work a hybrid role between our downtown office and at home, as much of the work is 1:1 directly with our CEO.
