Position Overview: The Facilities Coordinator will serve as the Assistant to the Facilities Manager plays a crucial role in supporting the efficient operation and maintenance of a large school facility spanning 200,000 square feet. This position involves assisting the Facilities Manager with administrative tasks such as work order management, scheduling, invoice approval, and clerical assignments.  The role also includes overseeing repairs, custodial services, event setups and breakdowns, snow removal, capital improvements, HVAC, plumbing, structural maintenance, locksmithing, door repairs, and addressing various other facility-related issues.   

Salary Range: $50,000 - $65,000  (Starting salary is determined by education and years of relevant experience.) 

Qualifications: The successful applicant for this position will have:

  • High school diploma or equivalent; associate degree or higher preferred.
  • Previous experience in facilities management, property management, or related field is advantageous.
  • Proficiency in computer applications such as Microsoft Office Suite and facility management software.
  • Strong organizational skills and attention to detail.
  • Excellent communication and interpersonal abilities.
  • Ability to multitask, prioritize, and work effectively under pressure.
  • Willingness to perform light physical tasks and occasional on-site work.
  • Availability for flexible scheduling, including weekends and holidays.

Essential Responsibilities:

  • **Scheduling:**

   - Assist in scheduling maintenance tasks, repairs, and other facility-related activities.

   - Coordinate with internal stakeholders to minimize disruptions to school operations.

  • **Invoice Approval:**

   - Review and approve invoices related to facility maintenance and repairs.

   - Maintain accurate records of expenditures and ensure compliance with budgetary guidelines.

  • **Clerical Assignments:**

   - Provide administrative support, including data entry, filing, and document management.

   - Prepare reports, correspondence, and other documents as needed.

  • **Work Order Management:**

   - Assist in responding to work orders promptly and efficiently.

   - Coordinate work order assignments and monitor progress.

   - Ensure timely closure and documentation of completed work orders.

  • **Physical Labor:**

   - Perform light physical tasks related to facility maintenance as necessary.

   - Assist maintenance staff with tasks such as moving furniture, equipment setup, and minor repairs.

  • **On-Site Support:**

   - Be available for on-site assistance as required, addressing urgent issues and overseeing maintenance activities.

   - Collaborate with custodial staff and contractors to ensure cleanliness and safety standards are met.

  • **Virtual Support:**

   - Manage virtual communication channels, including email, phone calls, and virtual meetings.

   - Coordinate remote support for facility-related inquiries and issues.

  • **Flexibility:**

   - Be available for occasional weekend, holiday, or work during school breaks as needed.

   - Adapt to changing priorities and emergencies in a dynamic environment.

  • Other duties as assigned.
