Hours: 8.30 - 18.00

Day to day responsibilities 

Front of house

  • Ensure smooth running and maintenance of the Reception area: including being responsible for opening and closing on time, keeping the area and office tidy and presentable as well as providing excellent customer service to clients and guests. 
  • Answer the phone in a professional manner in good time, screen calls and take messages as necessary.
  • Monitor general query email groups, screening incoming requests and responding in good time.
  • Manage the organisation and smooth running of the meeting rooms and calendar; including prepping the rooms for any client meetings (including ordering catering) and interviews.
  • Welcome clients, guests and Depsters from other offices in a friendly manner, organising seat allocations via our desk booking system, Robin, and refreshments.
  • Channel any office information or updates to all staff through appropriate medium.

Office management

  • Manage the post; including taking post to the Post Office, booking couriers, collecting post and distributing around the office.
  • Order office supplies (including stationery) and kitchen supplies etc.
  • Create and maintain a safe workplace for all staff, overseeing health & safety compliance including first-aid, mental-health first-aid, and fire safety.
  • Liaise and establish a good relationship with building reception and suppliers.
  • Support the People team with office-related actions for onboarding & offboarding team members.
  • Track office expenditure against budget.
  • Organise the logistics for company-wide meetings.
  • Maintain an office furniture inventory.

Ad-hoc tasks

  • Process travel requests, managing travel and accommodation bookings through our booking system, Egencia.
  • Assist in the organisation of social events.
  • Support the Senior Management Team with ad-hoc tasks and admin duties.
  • Purchase gifts for employees, suppliers, clients, etc.

What We’re Looking for 

  • Highly computer-literate with advanced Microsoft Office (Word, Excel, Outlook, PowerPoint & Keynote are essential).
  • Excellent verbal and written communication skills.
  • Superb organisational and multitasking skills.
  • Ability to take care of highly confidential information.
  • Service-oriented and great interpersonal skills.
  • Ability to handle multiple tasks effectively in a fast-paced environment.
  • Flexible with the ability to adapt to changes in work priorities.
  • Someone that is able to work flexibly, so living within London would be ideal.
  • Someone who is conscientious.
