JOB SUMMARY: Performs administrative tasks associated with the operating of stadium, including processing of Facilities Department invoices, administration of the Computerized Maintenance Management System (CMMS), and developing of monthly and annual reports.                                                                                                                                                                    

DUTIES AND RESPONSIBILITIES

Performs administrative tasks associated with operating stadium by:

  • Ensuring that invoices and expenses are tracked properly through FMX (CMMS) and reviewing incoming invoices for adequacy of information.
  • Processing facilities department invoices via Kwik Tags and submitting to the Director of Operations and Engineering for payment approval.
  • Compiling bill backs for all interdepartmental and vendor billing.
  • Utilizing CMMS, responsible for database entry of applicable data needed of the facilities department trending and reporting.
  • Coordinating with the Assistant Project Manager to maintain an organized electronic and hard copy storage system for all department service contracts, quotes, invoices, certificates of insurance, warranties, and any other applicable documentation.
  • Filing of facilities department hard copy documentation related to project documentation, equipment, invoicing and all applicable department administration.
  • Maintaining an organized means of tracking warranties and guarantees for equipment or services purchased by SMC.
  • Reviewing Certificates of Insurance (COI) for accuracy of limits and descriptions and working with vendors and internal departments to ensure that all COI’s are up to date.
  • As assigned, developing and distributing CMMS Reports as necessary to assist with department management.
  • Monitoring and tracking actual expenditures versus planned budget expenses.
  • As assigned, complete various reporting needs for the Facilities Department.
  • Processing of Conversion job tracking. 
  • Generation of event summary reports for conversion labor expenses related to all events.

Oversees CMMS by:

  • Coordinating all facets of the computerized maintenance management system (CMMS), customization and acting as FMX software subject matter expert and administrator.
  • Assisting all stadium staff in the training and utilization of FMX.
  • Developing FMX reports as necessary to assist with department management.
  • Working with department management to establish attic stock levels and tracking procedures through FMX.
  • Constantly identifying improvements to the use of FMX to benefit the organization and implement changes to improve efficiency.
  • Working with Director of Operations and Engineering and Engineering Manager to review and ensure work orders are properly closed out with pertinent details.

Assist with command center operations by:

  • Working flexible/long hours including weekends and off hours in event support role.
  • Acting as Facilities representative for Denver Broncos home games and public events as scheduled.
  • Comprehending and utilizing the content of the Crisis Management Plan.
  • Coordinating the dispatching of appropriate personnel during Denver Broncos home games and public events. 

Contributes to department team effort by:

  • Overseeing office supply and break room supply agreements and acquisition.
  • Maintaining all First Aid Stations and Eye Wash Stations in the stadium.
  • Scheduling of ATM servicing for public events.
  • Purchasing, maintaining inventory and distribution of apparel to organizational employees. 
  • As assigned by the Director of Operations and Engineering, performing various game/event day tasks including but not limited to confirming setups, inspecting and repairing stadium décor, and assisting Engineering Shops.

 

MINIMUM REQUIREMENTS

  • All applicants must submit a cover letter and resume. 
  • Minimum of two years of college education.

PREFERRED SKILLS AND ABILITY

  • A minimum of two years’ experience in facilities operations is preferred.
  • Proficient with utilizing pivot charts and generating graphs for decision level staff.
  • Experience with database processing is preferred in English.
  • Good oral and written communication.
  • Ability to effectively present information in one-on-one and small group situations to customers, clients, and other employees of the organization.
  • Proficiency in maintaining accurate record keeping.
  • Excellent problem-solving skills and ability to multi-task.
  • Works well under pressure.

 

In accordance with the Colorado Equal Pay for Equal Work Act, the expected salary range for this Colorado position is $45,000 - $55,000. Actual pay will be adjusted based on experience and other job-related factors permitted by law.
