About the Opportunity
The mission of our schools is to ensure that our scholars receive the most rigorous education. Core to achieving this mission is smooth operations that support all stakeholders’ ability to educate our scholars. Reporting to the Operations Manager, the Administrative Manager will ensure systematic, proactive, and efficient management of enrollment and registration, student information, attendance, family retention and school based operations while cultivating relationships with scholars, families, staff, and external stakeholders.

What You’ll Do
- Lead the enrollment process that includes, but is not limited to, management of the enrollment waitlist, digital and traditional communication with applicants, and student file maintenance to ensure the school meets enrollment goals.
- Serve as a visible support of school culture, supporting behavior management, developing relationships, and engaging positively with all scholars.
- Collaborate with operations teammates to process and welcome newly enrolled students and their families, through the effective planning of events.
- Prepare and analyze data reports for the operations leader in order to identify cultural, academic, and enrollment trends schoolwide.
- Collect, track, and maintain complete and accurate student registration documentation for new, returning, and withdrawing students in hard copy and digital formats.
- Manage a school-wide family communications plan supportive of the native languages of all families, analyzing engagement data and using that data to determine timing and best methods of communication to families.
- Communicate regularly with families regarding documentation submission, student biographical information, and related services.
- Meticulously maintain and manage internal and external student information databases and spreadsheets with relevant academic, biographical, and family contact information.
- Create a positive and welcoming environment and experience that all our families and guests deserve by ensuring reception and school entrance spaces are clean, welcoming, and informative.
- Train staff in their usage of student information systems, ensuring consistent and accurate student data records.
- Monitor student health records submissions and immunization compliance, and collaborate with relevant stakeholders such as nurses, food service teammates, social workers, and teachers to holistically support a healthy learning environment for all students.
- Monitor and analyze student attendance data, and work with teachers, social workers, school leaders, the operations team, and external community partners to coordinate family-supportive truancy-prevention interventions.
- Manage and coordinate student transportation services by collaborating with relevant stakeholders such as families, teachers, social workers and operations teammates
- Thoughtfully manage the supportive and appropriate dissemination of sensitive and federally regulated student information with teammates, family members, and stakeholders.
- Serve as a first-responder for basic technology issues for staff and scholars and coordinate findings with an external technology support organization.
- Support all exam administration including, but not limited to, state testing and internal school assessments.
Compensation and Benefits
Salary is $64,400-$74,100, commensurate with experience. Democracy Prep employees are provided with a benefits package that includes medical, vision, and dental insurance, 403B matching, and parental leave.
