European Facilities Manager

Based in our London HQ, this is a unique and exciting opportunity to join the Global Real Estate and Workplace team at Deliveroo.

We’re five years in, and along the way our team have taken hundreds of ideas from brainstorms to global rollouts, like Deliveroo Editions bespoke kitchens designed to host a locally curated selection of restaurants. Editions are our solution to ensuring that our customers have access to the best of the food scene, no matter where they live.

Based in our London HQ you’ll be responsible for a number of offices across Europe, supporting both local and global initiatives. Reporting into the Head of Global Workplace, this is a brand new role giving you the opportunity to join the team at the beginning of our journey and having your say in what Workplace looks like at Deliveroo.

Duties;

  • Creating and maintaining a ‘best in class’ Workplace proposition to a multi-site European portfolio
  • Liaison with IT, People and Finance to ensure that Workplace objectives are supported and all employees and guests have a seamless workplace experience
  • Responsible for setting the OPEX & CAPEX budget for your region, reforecasting each quarter and ensuring there is minimal variance. Reporting on budgets, service charges, rates, rent, insurance and local taxes etc
  • Acts as go-to person in relation to all European Workplace activities on site ensuring timely solutions, leadership and removal of potential blockers
  • Working with the Procurement Category Manager to create and deliver a contractor framework to develop a partnership and build relationships that can add value to the contract and improve the service for Deliveroo
  • Ensure a property risk management program including audits is implemented and maintained
  • Deliver space management and project management solutions across the European portfolio ensuring teams have the space required now and for the future
  • Ensure disaster recovery and business continuity plans are implemented and maintained
  • Implementation of a helpdesk system ensuring all queries are responded to in a timely manner, issues are resolved and employees are kept informed of progress
  • Build and maintain positive relationships with key stakeholders to understand the local team’s business priorities and how we can support them proactively
  • Coordinating with all local Office Managers to ensure a consistent approach across all markets in relation to F&B, workplace services and H&S and creating monthly reports that includes expenditure reporting, audit inspection, local and global updates
  • Ensure escalation procedures and incident reporting procedures are implemented and in place
  • Collaboration with the real estate, projects and sustainability teams
  • Thinking outside the box, looking at new and innovative ways to provide a world class workplace service
  • Have a flexible approach. Working remotely and across different sites able to manage emails and tasks effectively

Travel will be required but you should be effective at managing teams and tasks remotely

Skills Required;

  • Experience managing multiple international markets remotely within a fast paced, ever changing environment
  • Experience of managing multiple stakeholders and projects with aggressive timescales within a matrix organisation
  • Attention to detail with a strong sense of responsibility and accountability
  • Self motivated with the ability to learn quickly, work autonomously, get stuck in and own it!
  • Strong communicator with the ability to clearly articulate solutions to problems both verbally and in writing as well as being an active listener
  • Ability to work both independently and as part of a team, follow-through on agreed actions, and have the ability and flexibility to multitask, prioritise, and organise multiple tasks while under pressure
  • Budget management and financial analysis
  • A creative thinker who is constantly innovating and thinking of new ways to ensure we’re a great place to work. You are curious and love solving complex problems
  • Strong PC literacy and proven ability to manage daily activities using various systems such as Google Suite, Slack, Trello and Zendesk
