Cytokinetics is a late-stage, specialty cardiovascular biopharmaceutical company focused on discovering, developing and commercializing first-in-class muscle activators and next-in-class muscle inhibitors as potential treatments for debilitating diseases in which cardiac muscle performance is compromised. This role will handle details of a highly confidential and critical nature, collect and prepare information for use in discussions/meetings with the executive staff, the Board of Directors, and external parties. They will make high-level contacts of a sensitive nature inside and outside the company and exercise professional judgment within generally defined practices and policies when selecting methods and techniques for obtaining solutions. 

 

Responsibilities

  • Manage complex calendars, schedule meetings, coordinate travel arrangements, and handle correspondence, ensuring the Corporate Development team is supported in all administrative aspects.
  • Oversee the drafting, reviewing, and execution of Confidential Disclosure Agreements (CDAs), maintain accurate records, monitor renewals, and act as the primary point of contact for CDA-related inquiries.
  • Prepare slide decks and briefing materials (attendee bios, background on external companies and relevant key points for select meetings) and conduct ad hoc research and synthesis, such as pulling together summaries.
  • Serve as a liaison between the Corporate Development team and other departments, ensuring clear and timely communication; prepare and distribute internal and external communications, including meeting summaries and reports.
  • Assist in the coordination of corporate development projects, track timelines and milestones, and provide regular updates, ensuring that all initiatives are on track and well-documented.
  • Organize and maintain confidential files, prepare and review reports and presentations for accuracy, and ensure the security and accessibility of all corporate development documents.

 

Qualification

  • A BA/BS degree is preferred
  • 10+ plus years administrative experience with at least 3 years spent supporting one or more “C” level executive(s) or equivalent, preferably in a start-up biotech environment
  • High degree of personal integrity, discretion and confidentiality
  • Excellent communication skills with a customer service mindset, especially with external interactions
  • Superior organizational skills and prioritization skills: demonstrated ability to manage work load while supportive several departments
  • Ability to multitask efficiently; excel at synthesizing and coordinating multiple communications in a fast-paced and dynamic environment
  • Ability to work under tight and changing timelines
  • Manage executives’ busy calendars including scheduling and prioritizing meetings, conferences, teleconferences and travel
  • Complete all travel logistics and itineraries, facilitate preparation for and execution of travel, and prepare expense reports
  • Provide on- and off-site meeting support including logistics, audio/visual setup, refreshments, note-taking and post-meeting follow-up for various committees and leadership team meetings
  • Demonstrated professionalism including ability to communicate appropriately and effectively with members of C suite and Board of Directors and to handle matters of a highly confidential, critical nature
  • Strong work ethic and self-motivated
  • Proven ability to work within a team
  • Collaborate with Executive Assistant team members for other functions and provide backup
  • Excellent Word, PowerPoint, Excel, Outlook, Oracle, Concur, Conga, BOX and TEAMS skills; power users preferred; comfort with video conferencing technology, such as Zoom and TEAMS
  • Coordination and management of Purchase Orders and review and approval of invoices, tracking spending
  • Experience with substantive legal documents (law firm experience a plus)
  • Database management skills
  • Support data room management: Organize documents, manage approvals and access as needed
  • Attention to detail

Actual salary at the time of hire may vary and may be above or below the range based on various factors, including, but not limited to, the candidate’s relevant qualifications, skills, and experience, as well as the service line and location where this position may be filled.

Salary Pay Range
$117,000$143,000 USD
