Position Title: Executive Coordinator

FLSA Classification: NON-EXEMPT, FULL-TIME SALARIED

Reports to: CEO

This position provides oversight of all logistical, project and administrative support to the CEO. This support includes research, preparation of presentations, coordination with the Board of Directors, travel arrangement and logistics, event coordination, tactical organization of meetings, and special projects. The Executive Coordinator to the CEO reports to the CEO and works closely with the CEO, the Senior Leadership Team, the Administration Team, and the full organization as needed

ESSENTIAL JOB FUNCTIONS

CEO Management, Project Coordination and External Relations

• Assist CEO with development of new regions/markets as well as new company goals/objectives. • Align CEO priorities with incoming requests to effectively plan ahead and prioritize tasks.

• Ensure project planning methods are used when necessary to track CEO projects.

• Maintain tools to effectively manage CEO outreach and meetings.

• Support CEO internal and external communications.

• Coordinate and support CSD Extended Leadership Team meetings.

• Coordinate CEO-led events as directed by CEO or members of CSD Extended Leadership Team.

• Coordinate and ensure timeliness of CEO contact databases.

Presentations, Writing and Research

• Prepare PowerPoint presentations for CEO speaking engagements, including graphic presentation of concepts and ideas.

• Prepare and proof-read CEO correspondences.

• Prepare and edit reports and presentations.

• Conduct detailed research as directed by CEO for presentations, meetings, and special projects

Pedro Pallares Autism Foundation:

• Serve as main point of contact for the Board Directors.

• Schedule Board and Committee meetings, arrange meeting logistics, and prepare agendas and meeting materials.

• Maintain current information on all Pedro Pallares Autism Foundation Boards and Committees and ensure access as needed.

• Coordinate distribution and/or production of Pedro Pallares Autism Foundation materials.

• Excellent communication skills with internal and external staff, clients, funding sources, Board and stakeholders. • Strong aptitude to oversee and manage varied projects and effectively coordinate multiple projects to ensure synergies are leveraged and projects are on pace to meet objectives.

• Attention to detail and accuracy.

• Excellent writing skills with impeccable grammar, verbal cognition and quality control of documents and reports.

• Advanced Word, Excel, PowerPoint, Outlook and internet skills required.

• Resourceful, proactive, reliable, trustworthy, and assertive when appropriate.

• Ability to handle confidential information in a professional and discrete manner.

• Demonstrated experience with systematizing operations and departments in a fast-growing company.

• Experience in funding source relations; including but not limited to establishing and maintaining an open professional relationship between healthcare providers and a network of funding sources, contracts, communications with payers, credentialing, and maintaining contract statuses of licensed clinicians within the organization.

MINIMUM EDUCATION OR TRAINING EQUIVALENT TO

• Bachelor’s degree • Demonstrated project or executive support experience (2+ years)

• Experience and interest in internal and external communications and partnership development

• Proficient in Microsoft Office (Outlook, Word, Excel and PowerPoint), Adobe Acrobat and social media web platforms
