About the Position

Conduit Power is on a path to supplement our Nation’s power generation system with reliable and dispatchable generation in ways that reduces carbon footprint and accelerates the transition to clean, renewable energy.

We are seeking a highly organized and detail-oriented Administrative Assistant to provide comprehensive support to the Chief of Staff/Head of People. This role will encompass a variety of administrative and clerical tasks, office management duties, executive team support, and project assistance. The ideal candidate will demonstrate exceptional communication skills, professionalism, and the ability to manage confidential information with discretion.

You Will:

  • Administrative Support:
    • Manage and maintain the Executive Team’s calendar, including scheduling meetings, appointments, and travel arrangements.
    • Prepare and edit correspondence, communications, presentations, and other documents.
    • Handle incoming and outgoing communications on behalf of the Executive Team and Chief of Staff/Head of People when necessary.
    • Organize and order team lunches as needed.
    • Conduct research and compile data for reports and special projects as needed.
  • Office Management:
    • Organize and maintain office files, records, and databases.
    • Order and manage office supplies, weekly food orders, and ensuring the office operates smoothly on a daily basis.
    • Coordinate logistics for meetings, conferences, and other events.
    • Serve as the point of contact between the Chief of Staff/Head of People and internal/external stakeholders.
  • Executive Team Support:
    • Provide administrative support to the Executive Team when necessary.
    • Assist with the preparation and distribution of meeting agendas, minutes, and other documents.
    • Facilitate communication and coordination among the Executive team members.
  • Project Assistance:
    • Assist with the coordination and implementation of special projects and initiatives.
    • Track project progress and provide updates to the Chief of Staff/Head of People.
    • Collaborate with other departments to ensure timely completion of tasks.
  • Expense Management:
    • Handle executive expenses monthly, including collecting receipts, preparing expense reports, and ensuring timely reimbursement.
  • Human Resource Assistance:
    • Support the Chief of Staff/Head of People with various HR-related administrative tasks.
    • Maintain and update employee records and HR databases with accurate and current information.
    • Help organize and coordinate HR-related events, such as training sessions, workshops, and employee engagement activities.
    • Assist with the implementation of HR programs and initiatives.
    • Ensure employees are informed of any changes to policies.
  • Confidentiality:
    • Handle confidential information with integrity and discretion.
    • Maintain the confidentiality of sensitive documents and communications.
  • Other Duties:
    • Perform additional administrative tasks and support as required by the Chief of Staff.
    • Provide backup support to other executive team members as needed.

What You Bring to the Team:

  • High school diploma or equivalent required; Bachelor’s degree in Business Administration, Communications, or related field is preferred.
  • Minimum of 2-3 years of experience in an administrative or executive assistant role.
  • Experience in supporting senior-level executives is highly desirable.
  • Exceptional organization and time management skills.
  • Strong written and verbal communication skills.
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint)
  • Ability to work independently and handle multiple tasks simultaneously.
  • Attention to detail and problem-solving skills.
  • High level of professionalism and interpersonal skills.
  • Discretion and trustworthiness in handling confidential information.
  • Proactive and able to anticipate the needs of the Chief of Staff.
