The Deliverables and Clearance Coordinator (DCC) assists in the management of the rights and clearances process, review of production-related IP deliverables and protection of the company’s intellectual property portfolio. The DCC works directly with staff and management in the Business and Legal Affairs group, production-related personnel (both Complex employees and third parties), vendors, services providers and rights-holders to secure and document IP rights in Company content.  The DCC also provides general administrative support to the Chief Legal Officer and Corporate Secretary.

Duties and Responsibilities:

  • Work directly with internal production staff and external production companies to track and manage review of all IP related assets included in company content.

  • Review all rights clearance and legal paperwork submitted for both internal and external productions - including but not limited to clip/image licensing, music licensing, talent/location/materials agreements, cue sheets etc. – ensuring all media & terms are cleared and deals are properly executed/contain all rights required for each episode. Flag any inconsistencies and/or potential concerns for management and resolution.

  •  Work directly with internal production staff and external production companies to track and manage review of all IP related assets included in company content.

  • Maintain and update programming rights database (FilmTrack) - input and update rights-restrictions, exclusivity and expiry dates and summarize information for distribution team. House/archive all underlying paperwork. Develop and maintain a highly organized tracking report that will capture the status of all pending agreements

  • Evaluate and promptly respond to external clearance inquiries from production companies, as needed.

  • Work with constituent departments to create asset libraries for use in Complex-produced content or for licensing to third parties (fee-based).

  • Review cuts from Complex Video department weekly shows, flag any clearance or compliance-related issues.

  • Research rights holders for various artwork included in video series. Negotiate related fees and terms for use. 

  • General administrative assistance.  Tracking and maintaining spreadsheets for IP-related invoices and fees, and providing administrative support to the Chief Legal Officer, including scanning, mailings, expense reporting, scheduling and preparation of board minutes, consents and resolutions.
