We are seeking a driven individual with strong organisational, administrative, and collaboration skills to join our team as a Team Coordinator.

About the role

Reporting to the Head of Facilities Management and Quality Assurance, the Team Coordinator will provide comprehensive administrative, organisational, and operational support to the Management Team (MT) and COFRA Services, ensuring the smooth execution of day-to-day activities and strategic initiatives. Key responsibilities include:

  • Project and Budget Support: Assist with project tracking, risk and quality assurance tasks, and budget centralisation efforts in collaboration with the Business Controller.
  • Meeting and Event Coordination: Organise logistics for meetings, prepare materials, and coordinate team events and offsites.
  • SLAs and Stakeholder Management: Maintain a thorough understanding of COFRA Services processes, especially Service Level Agreements (SLAs). Act as a key point of contact for clients and stakeholders to ensure service commitments are met and proactively address challenges.
  • Services Catalogue Oversight: Support updates to the Services catalogue, contributing to discussions on client offerings and encouraging innovative solutions to enhance services.
  • Process Improvement: Continuously seeking opportunities to improve workflows and increase productivity, including investigating the use and implementation of technology and AI driven tools where appropriate.
  • Administrative Excellence: Manage schedules, prepare agendas, reports, and meeting documentation for the Management Team.

What you bring

  • Strong organisational, time management, and multitasking abilities
  • Proactive problem-solving skills with attention to detail
  • Discretion and skill in handling confidential information
  • Bachelor's degree in Business Administration, Office Management, or related field
  • Relevant certifications in administrative support or project management (e.g., IAAP CAP. PACE) are a plus
  • Previous experience in a shared service centre or a similar fast-paced, stakeholder-focused environment is desirable
  • Advanced proficiency in Microsoft Office, relevant software, and interest in new technologies and AI tools
