JOB SUMMARY
We are seeking an efficient, detail-oriented Executive and Personal Assistant to support our CEO in a dynamic, hybrid role. This position involves managing both professional commitments within Code.org and personal tasks for the CEO, alongside responsibilities related to a wholly owned subsidiary. The ideal candidate will excel in organizing and prioritizing a diverse workload, ensuring both the CEO's business obligations and personal life run smoothly and efficiently.
This multifaceted role divides time and focus across three distinct support channels:
- Code.org CEO Executive Assistant: Handling all professional tasks related to Code.org.
- CEO Personal Assistant: Managing personal appointments, errands, and household tasks.
- Wholly Owned Subsidiary CEO Executive Assistant: Supporting the CEO in responsibilities related to Code.org’s wholly owned subsidiary.
Approximately 75% of the workweek will be dedicated to the first two channels, focusing on Code.org and personal assistance tasks.
DUTIES AND RESPONSIBILITIES
Your primary responsibility in this role will be to provide outstanding, proactive executive support. Other key responsibilities will include:
- Schedule Management: Streamline appointments and coordinate calendars for business engagements and personal commitments.
- Communication Handling: Manage email correspondence and phone messages to ensure timely responses.
- Travel Arrangements: Book business travel, as well as personal travel (often combined)
- Event Planning: Organize speaking engagements, corporate events, and personal gatherings, overseeing every detail.
- Expense Management: Compile and submit expense reports for business transactions.
- Personal Tasks: Conduct shopping, errands, make reservations, and support family transportation needs.
- Household Management: Coordinate maintenance, and oversee home projects.
EXPERIENCE & QUALIFICATIONS
As our ideal candidate, you have:
- 5+ years experience in supporting C-level executives using sound judgment, discretion, and superior customer service skills
- Proficiency using Google Apps for email and calendaring
- Experience and proficiency using the Google Suite, Trello, Slack, Zoom or other current tech tools
- Excellent written and verbal communication skills
- Exceptional organizational and time management skills.
- Proactive problem solver with strong attention to detail and project management ability.
- Discretion and confidentiality.
- Flexibility to adapt to changing schedules and tasks.
In addition, candidates must:
- Be a U.S. Citizen or Permanent Resident
- Pass a pre-employment background check
- Be located in Seattle/Bellevue area
- Have reliable personal transportation

COMPENSATION & BENEFITS PACKAGE
The expected salary range for this position is $72,900 - $81,000. The actual offer will be at the company’s sole discretion and determined by relevant business considerations, including the final candidate’s qualifications, years of experience, and skillset.
