About the Opportunity

The Special Projects Associate will support the day-to-day operations of the virtual back office of CGI U, related to scheduling meetings and coordinating calendars with internal and external stakeholders, events, partner deliverable management and tracking, application management, and general correspondence. They will also assist on development initiatives and provide administrative and logistical support. The Associate will also be responsible for keeping internal databases updated, assisting in the development and execution of social media, and working with the CGI U Alumni board to collect alumni stories of impact for broader dissemination. They may provide in-person staff support as needed and should have a high level of comfort and fluency in manipulating excel, google sheets, etc.

Core Responsibilities  

Community Engagement and External Affairs  

  • Assists the CEO in funder and partner meetings, taking notes, executing follow up, and tracking funder/partner touchpoints 
  • Assists in maintaining CGI U’s digital media presence, including the CGI U website, online forms, member sites, social media, and other digital communications platforms 
  • Manages CGI U’s digital mass communications through EveryAction, including list management, data-driven insights, and editing email copy 
  • Prepares and updates external facing materials in coordination with Clinton Foundation marketing and communications teams 
  • Supports the outreach lead in the research, documentation, execution and tracking of all outreach tied to the CGI Fellows and CGI U application.  

Back Office Support and Correspondence   

  • Orchestrates office operations, including scheduling, coordinating travel logistics, updating internal databases, and responding to written and telephone inquiries 
  • Monitors all inbound messages in the CGI U general inbox and works collaboratively with CGI U team members to filter and respond to queries 
  • Supports the dissemination of admissions communications to CGI Fellows and CGI U students 

Data Management 

  • Maintains accurate, up-to-date data and tracking mechanisms of conducted outreach 
  • Organizes and analyzes data to help inform CGI Fellows and CGI U processes, enhance program storytelling, and increase program’s diversity, equity, and inclusion efforts 
  • Assists in the preparation of constituent data imports 

Speaker Research and Event Logistics 

  • Support with research efforts to identify pertinent and diverse speaker ideas for CGI University and CGI Fellows programming 
  • Work with the broader CGI U program team to prepare speaker briefing materials, including writing moderator questions and session descriptions 
  • Work with the broader CGI U program team to schedule events 

Minimum Qualifications  

What we’re looking for: 

  • Bachelor’s degree or equivalent 
  • Two or more years of campus organizing and outreach experience as a student or non-student
  • Strong knowledge of Excel required
  • Demonstrated understanding of the higher education sector
  • Demonstrated knowledge of the social impact sector 

Compensation & Benefits 

Our best estimate of the compensation range for this opportunity is $25/hour. This role is eligible for overtime pay. This range is based on NYC market rates and may be adjusted if you will be working remotely.  We look forward to discussing our compensation pricing strategy, and your expectations, throughout the interview process.
