Traveling Administrative Specialist Job Profile:

  • Primary Traveling Role: Act as the primary administrative support during vacancies across Civitas communities. Frequent and regular travel is a fundamental aspect of this role, requiring adaptability and commitment to maintain high standards of service.
  • Front Office Excellence: Manage front office activities including answering phones, transferring calls, recording messages, and maintaining our customer service protocols with professionalism and courtesy.
  • Guest Relations: Provide a warm welcome to community guests, ensuring a consistent experience of hospitality across all locations.
  • Financial Responsibilities: Oversee financial transactions including payments, ledgers, and collections. Develop and coordinate collection strategies as necessary.
  • Record Management: Keep meticulous records for residents and employees in compliance with company standards and state regulations.
  • Accounts Handling: Efficiently process invoices, distribute funds, and perform petty cash reconciliations, adapting to the financial systems of various communities.
  • Multitasking Mastery: Excel in handling multiple priorities in a fast-paced, changing environment without compromising quality.

Traveling Administrative Specialist Job Requirements:

  • Experience: Minimum 1-year in Accounts Receivable, Accounts Payable, and Payroll, with demonstrated ability to adapt to new environments.
  • Travel Requirement: Extensive travel is essential. Candidates must be prepared to travel regularly and on short notice.
  • Communication Skills: Excellent written and oral communication capabilities.
