Position: 

Circ Benelux (based in Brussels) is looking for an HR & Office Assistant who will master the reception, administrative and management duties of this role. We are looking for someone that will enhance our work environment with a positive attitude and a commitment to managing a fun, forward-thinking office in Brussels. The Assistant serves as the hub of our office and needs to be able to shift gears from serving as administrative assistant to managing IT support, to planning/prepping various meetings, managing the follow-up with the suppliers or regarding the HR tasks.

Responsibilities

  • Maintain office operations and procedures
  • Maintain a filing system for essential correspondences & documents
  • Negotiate the purchase of office supplies and furniture, office equipment for the entire staff in accordance with company purchasing policies and budgetary restrictions
  • Complete operational requirements by scheduling and assigning employees; following up on work results
  • Renew subscriptions and memberships
  • Liaise with Culture team and plans monthly internal activities
  • Organise and send company announcements – office holidays (regionally) and staff on leave
  • Set up conference calls on behalf of the wider team
  • Receive clients, guests and service providers at the office
  • Manage the invoices and expenses from all employees
  • Redact contracts and other formal documents
  • Organise and maintain personnel records
  • Update internal databases (e.g. record sick or maternity leave)
  • Prepare HR documents, like new hire guides
  • Liaise with external partners, like insurance vendors, and ensure legal compliance
  • Create regular reports and presentations on HR metrics
  • Arrange travel accommodations and process expense forms
  • Participate in HR projects.

Requirements

  • 0 - 2 years of relevant experience and progressive responsibility in office administration. Experienced in PR will be an advantage
  • Bachelor’s degree in Human Resource or equivalent
  • Fluent in both English and Dutch oral and written. French is a plus
  • Proficiency using Microsoft office and other relevant software
  • High attention to details and commitment to excellence
  • Excellent organizational skills, with an ability to prioritize important projects
  • Strong phone, email and in-person communication skill
