Job Overview:

We are seeking a full-time Executive Assistant in our São Paulo, Brazil office to provide administrative support to several senior staff members of our Risk, Investigations and Analytics practice. The ideal candidate will be a well-organized and detail-oriented self-starter who can accomplish most tasks independently. We need a proactive, energetic team player with a positive attitude who is willing to take on additional tasks.


  • Manage office costs and budget, ensuring proper review, tracking and reconciliation of expenses
  • Act as local office liaison with corporate and as the primary contact for building management       
  • Manage all vendor relationships, negotiating for best pricing and terms and ensuring strong service to meet internal client needs         
  • Handle all on-going office maintenance issues including office equipment, copiers, storage, carpet-cleaning, key card entry, plant maintenance, building-related items and overall tidiness
  • Manage any space-expansion related needs with corporate and vendors, including office relocations, build-out specifications, and furniture requirements
  • Act as primary point person for all office-related inquiries by employees, corporate, or external vendors, resolving any issues as needed        
  • Ensure proactive communication with employees on all office-related news that may impact them
  • Develop and ensure compliance of office policies, including security and safety procedures and the emergency evacuation plan
  • Work with Human Capital on execution of employee on-boarding and off-boarding (building passes, office set-up, orientation, business card orders), as well as office event planning


  • Bachelor’s Degree with minimum 3 years work experience
  • Previous relevant experience in administrative roles
  • Proficiency in MS Word, Excel, PowerPoint, and Outlook, as well as Google Drive
  • Experience supporting several senior-level people simultaneously
  • Fluency in both English and Portuguese
  • Excellent verbal and written communication skills
  • Excellent organizational skills and be able to effectively prioritize tasks
  • Be extremely detail-oriented and able to complete tasks efficiently and accurately
  • Dedicated, dependable and focused
  • Outgoing, positive approach and be able to work well in a small team environment
  • Willing to take on more complex tasks over time
