Executive Assistant Opportunities

We are seeking highly organized, proactive, and detail-oriented Executive Assistants to provide administrative support to senior leadership across the organization.

The ideal candidates will be strategic thinkers, problem-solvers, and excellent communicators who thrive in a fast-paced, mission-driven environment. These roles are critical in ensuring that our executives can focus on driving the organization's key initiatives while relying on seamless administrative support.

You Will:

  • Calendar Management: Manage complex calendars for the respective lead, including scheduling meetings, appointments, and travel arrangements.
  • Confidentiality & Discretion: Handle sensitive and confidential information with the highest level of integrity and discretion.
  • Travel Coordination: Plan and arrange executive travel (domestic and international), including transportation, accommodations, and itineraries, while proactively troubleshooting any issues that arise.
  • Meeting Coordination: Coordinate meeting logistics, including preparing agendas, distributing materials, and taking minutes.
  • Project Support: Assist with project management tasks, including tracking deadlines, preparing reports, and coordinating with vendors.
  • Vendor Management: Maintain relationships with vendors, coordinating contracts, purchase orders, and service requests.
  • Communication: Act as the executive and internal/external stakeholders liaison, ensuring effective communication and timely responses.
  • Problem-Solving: Anticipate and proactively resolve potential issues, ensuring smooth operations and efficient workflows.
  • Other Duties: Perform other administrative tasks as assigned, supporting the overall success of their teams. 

You Bring:

  • Experience: 3+ years of experience providing executive-level administrative support in a high paced, high demand environment.
  • Exceptional organizational skills with the ability to manage multiple priorities and meet deadlines.
  • Excellent communication skills (written and verbal) with the ability to interact effectively with individuals at all levels of the organization.
  • Positivity and exceptional people skills, with the ability to collaborate productively and build a healthy work environment for the team you support.
  • Strong problem-solving skills with the ability to anticipate and resolve issues proactively.
  • Proficiency in Zoom, Gsuite (Heavy Google Calendar for scheduling, Google Sheets, and Google Slides), Microsoft Office Suite (Word, Excel, PowerPoint, Outlook), and other relevant software.
  • Experience with project management tools and techniques such as Airtable, Salesforce, and Confluence.

Compensation

The Redwood City, CA base pay range for this role is $42.79 - $73.55 (hourly). New hires are typically hired into the lower portion of the range, enabling employee growth in the range over time. Actual placement in range is based on job-related skills and experience, as evaluated throughout the interview process. Pay ranges outside Redwood City are adjusted based on cost of labor in each respective geographical market.
