Position Description:
This role will primarily support six members of the management team, which include the General Counsel, SVP of Finance, Chief People Officer, VP of Marketing, SVP of Operations, and SVP of Clinical Affairs. The ideal person for the job will be team oriented, organized, proactive, with exceptional communication and written skills. This is a hybrid role with flexible in-office hours; requiring at least 2x a week in the office and flexibility to come in for additional days as needed. This position will report directly to the Manager of Executive Administration.
Responsibilities:
Objectives of this Role:
- Optimize the management team’s productivity through efficient calendar management, prioritizing tasks and deadlines to ensure the company goals and objectives are accomplished, and operations run efficiently.
- Maintain and refine internal processes that support the highest-ranking executives company-wide, coordinating internal and external resources to expedite workflow.
- Manage communication between upper management and employees, liaising with internal and external executives on various projects and tasks.
- Plan and orchestrate work to ensure the senior executives’ priorities are met, organizational goals are achieved, and best practices are upheld.
What You’ll Do:
- Calendar management - Schedule and coordinate meetings, appointments, and events while prioritizing time effectively. Includes coordinating and managing candidate interviews.
- Travel coordination - light support for booking flights, hotels, transportation, and preparing travel itineraries when necessary.
- Expense management - Prepare and submit expenses and reimbursements.
- Event planning and office support - Organize team communications and plan departmental events and offsites. Manage relationships with third party service providers/vendors.
- Meeting preparation - Organize agendas and prepare materials as needed.
- Stakeholder coordination - Liaising with internal teams and external partners on behalf of executives.
- Backup support - Provide backup coverage / support to admins and members of the executive team, as needed.
- Project and task management - Assist with special projects, track deadlines, and follow up on action items. Includes light personal assistant support as needed.
- Confidential information handling - Preparing, managing, and sending sensitive data via DocuSign while ensuring discretion in communications.
Requirements/Qualifications
- Bachelor's degree preferred
- At least 3-5 years Executive Assistant experience supporting a team
- High level of professionalism, and discretion with confidential information
- Articulate, with strong written and verbal communication skills
- Strong time-management skills, and detail oriented, with the ability to organize/prioritize multiple projects to meet deadlines
- Proficient in G-Suite, MS Office, Zoom, and other office productivity tools, with aptitude to learn new software and systems
- Problem-solving and decision making skills
- Flexible team player, adaptable, and enjoys a challenge
- Driven, strong interest in self-development, and high integrity
- At least two professional references required
A candidate’s final compensation offer will be commensurate with their skills and experience, and thus it may differ from the posted range. Compensation may also include bonuses consistent with Ceribell’s corporate compensation plan. Compensation Range
$120,000 - $140,000 USD
