The PR Coordinator is the administrative backbone of the Public Relations Department, supporting the VP of Public Relations with scheduling, project oversight, and administrative tasks. As PR Coordinator, you are expected to assist the VP of PR and Publicists in managing all aspects of the projects to which you are assigned. Responsibilities include assisting the team in the day-to-day delivery of client deliverables; assisting and supporting projects through planning, strategic, execution and reporting phases. The PR Coordinator will also support the business development goals of the Department and the Agency through prospecting, researching, and reaching out to new potential clients.

Key Responsibilities / Accountabilities:

  • General support of VP of PR and other team members
  • Researching, developing and updating media distribution lists
  • Monitoring media coverage of the agency’s client
  • Identify media trends to create “out of the box” media opportunities for clients and Executive staff
  • Responsible for compiling and updating all client reports
  • Build and maintain positive and engaging relationships with media (print, broadcast, online, blogs, consumer, urban, social media tastemakers)
  • Work directly with clients and executive staff
  • Work closely with the social media and marketing teams to develop and execute campaign strategy
  • Drafting press releases and pitches
  • Maintain Executive Staff members calendars, as well as the master calendar for the pod
  • Schedule appointments for clients/business clientele with proactive and professional communication skills
  • Compile monthly expense forms
  • Research and book travel
  • Preparing conference room for meetings
  • Maintain and ensure that all departmental activities are accurately reflected in Mavenlink
  • Generate great cross-functional relationships internally and externally for efficient and effective interdepartmental flow
  • Proactively assist in the business development process by researching potential clients, conducting initial outreach, and setting up introductory calls/meetings

All potential candidates must:

  • Bachelor’s degree from a four year college/university
  • At least one (1) year of relevant work experience
  • New media savvy with an understanding of social networks and technology
  • Knowledge and passion for current lifestyle and cultural trends that are relevant to today’s multi-cultural, urban and mainstream millennial consumer and industry tastemakers and trendsetters
  • Strong knowledge of the PR field including experience in media relations, press campaign development and execution of creative and strategic communication plans
  • Strong creative talent and problem-solving skills
  • Must balance high-priority, long-term projects with short-term, immediate deadlines
  • The ability to anticipate needs
  • Excellent oral and written communication skills
  • Ability to work independently and with a team in a fast paced, rapidly-changing entrepreneurial environment
  • Attention to detail, ability to multi-task and prioritize, and strong organizational skills
  • Knowledgeable about principles and practices of organization, planning and records management
  • Confidence and skill handling clients in person and on the phone
  • Excellent proficiency with MS Excel, Word, PowerPoint, and Google Docs
  • Strong written and oral communication skills
  • Knowledge and passion for all things music (hip hop, R&B, EDM, indie rock)
  • Strong knowledge of various social media networks
  • Previous experience in the entertainment industry is a plus
