Job Description

As a young and expanding organisation, we are looking to hire a People Operations Administrator to support our rapidly expanding global offices. Caring Deeply and Problem Solving is ingrained in Carousell culture and this role embodies that to the core. The Ops Administrator will focus on delivering people operations such as onboarding and mobility administration. S/he will also be responsible for administering the People Helpdesk. This role is integral to supporting our employees with an integrated employee experience and the People team to ensure operational excellence. Based in Singapore, you work directly with the Head of People Operations.

Key Responsibilities

Onboarding Administration

  • Onboarding new hires on the company Human Resource Information System (HRIS)
  • Communicating new hire schedule to all stakeholders including other operations teams, managers, and other members of the People team
  • Ensuring all onboarding tasks (required from different stakeholders) are completed prior/ up to the commencement date
  • Enrolling new hires onto the company’s healthcare listing
  • Facilitate the signing/ submission of all required forms

International Mobility/ Relocation

  • Applying, renewing and issuing work visas for new hires, employees and their dependents who need them
  • Cancelling work visas for leavers who are work visa holders and their dependents
  • Arranging for relocation flights and accommodation
  • Requesting for relocation bonus to be issued by Finance Operations

People Helpdesk & other requests

  • Ensure that all requests are supported within 3 working days
  • Resolve any Level 1 requests such as requests for
    • Employment verification/ certification
    • Visa applications; and
    • T-shirt printing
    • Namecard requests
    • Pack swags
  • Assign any Level 2 requests to relevant persons such as HRIS technical queries and any other requests that requires approvals
  • See to any Level 1 requests from People Operations Specialist and People Business Partners such as letters and verifications
  • Support event logistics

Key Requirements

  • 1 - 2 years in an administrative role
  • Meticulous in written communication with a deep level of care
  • Proactively organized and able to multitask and meet deadlines
  • High degree of professionalism with ability to deal sensitively with confidential material
