Executive Assistant:

  • Manage the calendar of the Associate Partner based in Hong Kong and frequently travels to Kuala Lumpur.
  • Liaise and build rapport with clients, stakeholders, colleagues, and other executive assistants.
  • Arrange flights, hotel accommodations, transportation, and restaurant bookings and prepare itineraries for business trips.
  • Manage expenses and timesheets – submission of expense claims and timesheets weekly.

Office Manager:

  • Monitor and order office supplies such as business cards, office drinks, snacks, and stationery.
  • Manage office access cards, calls, and mail.
  • Manage office cleaning lady to ensure the office environment is pleasant.
  • Coordinate with the building management office for repairs and maintaining office fixtures and equipment.
  • Plan and facilitate all in-house or offsite activities and arrange catering if needed.
  • Support and greet visitors to the office.
  • Manage corporate hotel options and source and book accommodation (hotel or serviced apartment) for employees traveling to Hong Kong.
  • Record expenditure in office facilities, collate invoices, and submit to finance regularly.
  • Work with the finance, risk, and compliance teams to stay current on business registration, office insurance, and office and BCP guidelines.
  • Work with internal communication to issue internal announcements and updates.
  • Manage office vendors and conduct regular reviews.
  • Support marketing and L&D activities when needed.
  • Coordinate on-boarding and off-boarding activities.
  • Provide appropriate guidance to employees regarding office matters.
  • Perform other ad-hoc duties as required.
