The Role:
- First point of contact for clients/staff/contractors to the London office (meeting & greeting / reception email & main phone line) Working alongside Head Receptionist.
- General Post management, Assist booking couriers & sorting post.
- Ensuring reception area is kept tidy, liaising with cleaning team.
- Assist Facilities team with Helpdesk email inbox
- Assist Head of Security with minor administrative tasks
- Order stationary as required and monitor stock
- Assist managing onsite lockers & keyholding
- Provide operational support for in house events (booking and running of event)
- Provide General admin support for Edinburgh Office (as required)
- Provide ad hoc administrative duties for other departments (HR, IT, EA’s)
- Ensure a safe, compliant environment for staff & clients by ensuring processes are followed and where there are gaps in the processes escalate for resolution
- Establish and maintain strong professional relationships with key stakeholders
Experience
- Experience in Reception / Administrative Role
- Fire Marshal / First Aid Training (desirable, training can be provided)
- Intermediate knowledge of Office 365 (Microsoft Outlook, Word, Excel)
- Confident and clear communication style. Comfortable communicating with all colleagues at all levels within your area
- Proactive and highly organised with the ability to plan and multi-task
- Work well under pressure and ability to use own initiative
- Flexible and adaptable approach to work
- Good verbal and written English work
