Cadre Hospice seeks to expand access to the hospice benefit, especially among underserved populations. In addition to traditional go-to-market channels, Cadre plans to partner with at-risk medical groups to integrate upstream and offer a comprehensive palliative care program to patients nearing end of life. Cadre combines a unique pre-hospice care model, proprietary patient identification algorithm, partnership mindset with provider groups and best-in-class hospice operations to offer the most comprehensive end-of-life care solutions to patients.
Reporting to the COO, the Senior Director of Office Operations is responsible for integrating compliance and clinical quality into the company's EMR systems and operational workflows. This role ensures that each branch leverages technology to maintain operational efficiency while delivering the highest level of patient care. The Senior Director will also oversee the performance of branches, holding them accountable for key organizational metrics, minimizing ineligible claims, and ensuring adherence to Cadre’s EMR-driven operational practices and procedures.
Key Responsibilities:
- Analyze and optimize operational processes, procedures, and business metrics in support of the COO.
- Support COO in large scale process implementations and updates including EMR and other system implementation for acquisitions and branch growth strategies.
- Primary point of contact with Netsmart for support and development needs.
- First line of EMR support. This includes general system questions, troubleshooting errors/bugs, and communicating with Netsmart myUnity for support questions.
- Responsible for researching and completing any Netsmart configuration changes or system updates that occur.
- Manage vendor analysis including selection of clinical systems and solutions.
- Lead and manage training for Netsmart supporting both in person and virtual needs for new branch hires.
- Collaborate with branch team members to clear billing holds.
- Partner with operational leadership to ensure core business metrics are met for the region.
- Pull and share operational and billing reports on a daily, weekly, monthly, quarterly, annual and ad hoc basis.
- Oversee the compliance process for HIS submissions, including the review and correction of data discrepancies.
- Collaborate with clinical leadership to ensure accurate and timely data entry and submission of Hospice Information Set (HIS) documentation in accordance with regulatory requirements.
- Monitor submission timelines and follow up on outstanding submissions to ensure acceptance by regulatory bodies.
- Conduct regular audits of HIS submissions to identify areas for improvement and ensure adherence to best practices.
- Provide training and support to staff on HIS compliance and submission processes.
- Serve as a point of contact for any inquiries related to HIS submissions and compliance issues.
- Maintain up-to-date knowledge of changes in regulations and guidelines related to HIS submissions.
- Collaborate with COO to manage project related work in support of organizational operations.
Qualifications:
- Bachelor’s Degree preferred.
- 5+ years EMR experience required (Netsmart myUnity experience preferred).
- 3+ years of experience in hospice and/or home health field(s) required.
- Experience planning, leading, and directing complex operational initiatives required.
- Deep knowledge of hospice regulations and CoPs preferred.
- Proven experience with managing multiple projects including holding yourself and others accountable to project deadlines.
- Detail oriented with the ability to easily prioritize responsibilities.
- Excellent analytical and problem-solving skills.
- Strong communication skills both written and verbally; exhibits the ability to document clear instruction guides, policies, and procedures.
- Experience working with Microsoft Word, Excel, and PowerPoint.
- Commitment to the organization's mission and values, with a passion for providing compassionate care to patients and families facing end-of-life issues.
- Ability to travel up to 50%.
