ROLE DESCRIPTION

As the Chief of Staff to Commercial, you will play a critical role in supporting the Corporate-Executive Department, in operating the cadence of the ByHeart business including cyclical strategic and operational activities, along with the coordination and execution of presentations and projects that support the strategic goals and objectives of the commercial organization.

As a key business partner to the President & Co-Founder, you will collaborate cross-functionally to capture and share information to ensure clear communication and offer context across the organization, with a focus on supporting key commercial initiatives. Think of yourself as the conductor of our corporate and strategic commercial processes, and an important representative of the company, internally and externally. You will be one of the founders’ most trusted thought-partners and an integral partner to our senior leadership team. Our ideal candidate is in the NYC area and able to come into our office a minimum of 3 days per week.

ROLES & RESPONSIBILITIES

With a strong understanding of the ByHeart brand, mission, vision, and values, along with its business model and processes, you will:

 (60%) Supporting Commercial: Organization, Meetings, Follow Ups, Materials

  • Manage key commercial meetings: prepare agendas and pre-reads, take notes, and implement action items
  • Support execution against 2024 strategic plan with regards to all commercial objectives and initiatives
  • Participate in key external meetings to identify new strategic opportunities that drive commercial business goals
  • Support President with outreach for key partners, advisors, and new strategic opportunities, draft succinct emails on behalf of President
  • Prepare impactful materials in line with brand design, and alongside commercial leaders, such as presentations, roadmaps, and project trackers
  • Support planning and execution of commercial team offsites and activities in partnership with omnichannel leaders
  • Own and drive President’s weekly directs meeting: set agendas, manage meetings, and ensure accountability to takeaways
  • Actively manage and ensure that President’s priorities are executed on: take work that the President delegates to appropriate folks (including yourself) to scope and achieve; regularly revisit priorities

 (20%) Corporate Cadence, Planning & Reporting

  • Partner closely with the Director of Business Operations to maintain a consistent business rhythm for all areas of the organization, including planning cycles, reporting, meeting cadence, and monthly business review meetings. Identify ways to streamline the operating mechanism to drive both accountability and efficiency
  • Manage the strategy, planning, and execution of company-wide business updates
  • Help drive short- and long-term strategic initiatives through proactive cross functional outreach working with R&D, commercial, operations, legal, HR, and finance
  • Draft proposals and communications for the senior leadership team, and other internal/external stakeholders, creating engaging and informative presentation decks with an emphasis on clear content and data to maximize impact
  • Support the Director of Business Operations in all strategic planning and tracking efforts including gathering and synthesizing information, reports, data analytics, competitive intelligence, etc.

 (15%) Internal Comms, Internal & External Engagement

  • Partner with People Team to prepare employee engagement and learning & development initiatives
  • Partner with People Team to develop and send company updates using Pingboard platform
  • Design, develop, and distribute branded products to investors and external partners
  • Act as a thought partner to the leadership team to support business performance management including data analysis to diagnose challenges, identify new opportunities, and assist in decision making
  • Own and drive annual leadership offsite along SVP People
  • Create and deliver internal communications content that celebrate our milestones and promote our brand values, partnering with Head of PR/Comms
  • Work with key stakeholders to ensure all internal communication is clear, consistent, and aligned with the company’s goals and values
  • Identify opportunities to promote employee engagement and help foster a positive company culture

Other (5%)

  • Assist in budget planning, resource allocation, and governing expense budgets throughout the year for the Corporate Executive Department
  • Identify areas for continual improvement, optimization and efficiencies to support scalable growth of the company, and drive prioritization of key projects, protecting founder time
  • Maintain and organize key company materials such as overview / introductory decks, contacts’ database
  • Own and drive ad-hoc projects that the Co-Founders are directly responsible for.This includes identifying the work to be done, scoping, socializing, and working cross functionally to execute on the work. 

 

Requirements - Skills & Qualifications

  • Bachelors’ Degree from accredited university with a focus on Business or Project Management; MBA or Advanced Degree preferred
  • 5+ years of experience in project and/or business management supporting executive teams, experience in CPG and/or omnichannel businesses preferred, and/or management consulting background
  • You are an excellent verbal and written communicator - you always err on the side of overcommunication
  • You have strong presentation skills – expertise in PowerPoint preparation, with basic design skills a must
  • You are data driven, analytical, and have incredible attention to detail
  • You are a strategic thinker with a deep love for process - you can take a goal and design a process to get there that is efficient and effective
  • You have strong business and financial acumen, and the ability to think strategically and operationalize initiatives through exceptional process, project management, and execution skills
  • Your professional maturity allows you to work with exceptional judgment/ discretion and build trust and credibility with in order to collaborate effectively with all levels of the organization
  • Proven success in partnering, collaborating, and influencing across groups and at all levels of the organization. Much of your effectiveness in this role will come through influence, not hard power, and in order to influence you have to understand what motivates and inspires people
  • Energetic, flexible, collaborative, and pro-active; a team leader who can positively and productively impact strategic and tactical initiatives
  • You are proactive and a self-starter, and have the ability to make decisions in a fast-paced, changing environment and anticipate future needs
  • You are incredibly organized. Creating and checking off to-do lists is literally one of your favorite activities

The minimum annual salary for this position is $140,000 and the maximum is $160,000. Additionally, you will be eligible for a discretionary performance based annual cash bonus and to participate in our company’s equity program, plus our robust medical, dental, vision, retirement, and other benefits.
