About the Role
As the Executive Assistant for the Communications team you will perform administrative and office support activities for the Vice President of Communications including planning, coordination and oversight for the daily operations of the department. You will also provide support to the members of the PR & Marketing team as needed. This position also supervises a Part-Time Office Assistant.
What You’ll Do
As a member of our team you will have an impact on Buckner team members and our clients through accomplishment of the following responsibilities:
- Oversee and complete a broad variety of administrative tasks including managing active calendars, arranging travel plans, processing expense reports, and other duties as needed
- Plan and manage meetings; participate in meetings and events as requested; negotiate with hotels and other vendors to facilitate arrangements for events
- Assist the Vice President of Communication in managing the Communications department budget
- Prepare, coordinate, collect, and/or distribute monthly reports for the department
- Assist the Associate Vice President of Public Relations in managing the Communications Team's Project Management System
- Assist members of the Marketing team as needed
- Successfully manage and complete tasks and projects; meet deadlines consistently and reliably
- Develop and implement processes for efficient administrative operations; responsible for continued alignment with budget goals
- Identify, source, secure, and track all supplies necessary for efficient business operations
- Research and assist to resolve issues in accordance with policies, procedures, and regulatory requirements
- Maintain calendars for Communications department and its staff; track appointments and other events for the Vice President of Communications
- Manage accounting tasks for the department including vendor payments, budget tracking and preparation; prepare and manage budget spreadsheets
- Maintain files and manage the record retention system for the Communications department
- Perform general administrative duties including: photocopying; scanning; mailing; receiving and routing incoming calls; receiving and directing visitors; responding to requests for information and data; preparing and proofreading letters, memos, spreadsheets and other correspondence
- Exercise independent judgment and discretion regarding confidential matters
- Demonstrate consistently positive interpersonal interactions with internal teams and external partners
What You’ll Bring to the Team
To be successful in this role and a great addition to our team we need you to come with the following:
- Minimum of 5 years prior related experience supporting a Vice President and his/her team
- Minimum of 3 years prior related experience managing personnel including staff development, scheduling, and evaluation
- Proficient experience working within the Microsoft suite including Excel, Word, PowerPoint, Outlook, and SharePoint
- Excellent customer service to everyone who reaches out to us for support and information leaving them with a WOW experience
- Excellent organization skills
- Excellent attention to detail
- Ability to establish and maintain effective professional relationships with internal and external stakeholders
- Ability to work under deadlines and remain flexible as priorities change
- Excellent communication skills, both verbal and written

Preferred Qualifications

- Bachelor's Degree in a related field of study
- Prior related experience supporting a communications, public relations, or marketing team
- Prior related project management experience using established project management methodologies
