The Executive Assistant position at Brunswick Group requires a highly organized, proactive and strategic individual. In this role, you will provide excellent secretarial support to Directors and Partners of the Sydney office and provide all-round administrative support in relation to our business and office space.
You will also work closely with our Sydney team members and APAC business support functions (ie. Finance, People/Recruitment, ICT etc.) to support a range of internal projects and processes.
Duties and Responsibilities may include but are not limited to:
- Provide full-scale secretarial support to Directors and Partners, including but not limited to: managing complex calendars, organizing expense and timesheet submissions, and providing strategic support to increase efficiencies and productivity of your charges.
- Understand and prioritize charges’ time to ensure they are well positioned to excel, and remain nimble in order to adjust as needed.
- Take a proactive approach to the role in order to identify and solve for potential challenges related to scheduling, travel and other daily activities before they arise.
- Understand the nature of our firm’s work, how teams function and your role in facilitating that work in order to seamlessly coordinate with other team members.
- Build strong rapport with your charges and client contacts.
- Prioritize and manage multiple projects simultaneously and follow through on all associated details.
- Respond to emails and requests in a timely fashion - ability to judge the urgency and importance of each request and manage turnaround appropriately.
- Act as project manager where necessary for key client teams, coordinating specific team assignments and projects.
- Able to draft documents, edit presentations and assist with other presentation materials for charges or clients.
- Perform related duties as assigned.
Preferred requirements include:
- Degree holder or above with at least 6 years of solid experience in supporting senior executives, preferably in professional services sector, law firms, banks or international corporations.
- Proficiency in MS Office applications including Word, Excel, PowerPoint, Outlook.
- Ability to handle highly sensitive and confidential information.
- Able to work independently with minimal supervision, and at the same time a team player adept at collaboration and effective communications.
- Enthusiastic about helping people achieve shared goals.
- Understand the concept of internal customer, and the broader business objectives of the firm in Asia and globally.
- Keen to learn new things and embrace new responsibilities and changes as the firm grows.
