About Us

Brilla Public Charter Schools is a network of K-8th grade schools that currently serves 1,800 students from Mott Haven, University Heights, and other neighborhoods in the Bronx. The network is growing from its current four elementary and two middle schools to five elementary and five middle schools educating some 4,000 students in the Bronx and Paterson, NJ. The Charter Management Organization (CMO) for Brilla Schools Network is Seton Education Partners, an organization inspired by the Catholic educational tradition, that also manages the Seton Teaching Fellows missionary program and El Camino, an optional after-school Catholic faith formation program. At the heart of the Seton educational mission is our dedication to help students become young men and women of good character and spirit who are prepared for excellence in high school, college, and beyond.

Position Overview

The Director of Operations (DOO) serves as a key member of the school Administrative Team, and leads the full time Operations and contracted personnel staff. The Director of Operations works in partnership with the Principal to ensure all business aspects of the school are run effectively. This role reports directly to the Network Director of Operations. This role is responsible for planning, coordinating and supervising the day-to-day business operations of a Brilla school. Specifically, the DOO is responsible for overseeing the school office, student records, student information systems, transportation, food service, facility management, operational compliance, human resources, and student/staff recruitment support. In addition to developing and managing the school-based operations team to provide our students and their families with an unparalleled educational experience. 

Key Responsibilities Include

  • Management and Leadership: Manages a team of school operations professionals in overseeing all logistics for day-to-day school operations, school-wide events, parent communications, data collection, technology, and inventory management;
  • System Creation and Management: Responsible for policies, procedures, and communications across the school community to drive student outcomes;
  • Financial Management: Manages the daily financial and business activities of the school, including purchase orders, credit card reports, and staff reimbursements;
  • Daily Operational Excellence: Ensures operational excellence and high level of detail in all areas of operations, from school aesthetics to school health and safety protocols; and
  • Family Engagement and Advocacy: Establishes and maintains authentic and productive relationships with all members of the school community to drive the goals of our school and mission.

Team Supervision & Management 

  • Manages and develops a team of 3-4 full time Operations Team members including, but not limited to, an Operations Manager, Operations Coordinator and Operation Fellow 
  • Oversees 5-6 onsite support staff including but not limited to custodial staff, school foods staff, school nurse, security guard and onsite technology support staff

Human Resources 

  • Serves as the school-based representative for all HR questions and concerns 
  • Supports Staff Recruitment Team with onsite interview logistics 
  • Oversees and maintain accurate staff certification information 
  • Assists in annual staff handbook revision, distribution and ensures staff compliance with handbook
  • Responsible for a smooth onboard and offboard process of all staff members
  • Maintains and reports staff clock-in reconciliation to secure an accurate payroll cycle

Facilities Management

  • Oversees safety and cleanliness of facilities and surrounding areas
  • Actively monitors facilities wear and tear and implements improvements 
  • Ensures compliance with all regulatory agencies (DOB, FDNY) 
  • Works with the COO to monitor submitted requests for repairs to school building to ensure prompt completion 
  • Initiates and tracks service records for office equipment and technology infrastructure 
  • Ensures school supplies, furniture, and equipment are properly stored and accessible when needed 

Technology 

  • Coordinates and oversees onsite visits of Brilla’s technology service vendor
  • Troubleshoots technology needs as required
  • Ensures all technology is working appropriately at all times

Family Engagement 

  • Models and embodies a culture of hospitality and excellent customer service to all stakeholders
  • Interacts authentically with all Brilla families providing a high level of attention and care 
  • Holds team to a standard of exceptional service towards families with a “willingness-to-help” mindset at all times
  • Serves as the first point of contact for family concerns in the main office 

Student Enrollment

  • Supervises collection of student applications and documents at school location 
  • Supervises accurate data entry and update of all prospective & current student information
  • Assists in the creation and dissemination of student recruitment mailings including fliers, brochures, and other informational documents 
  • Supervises tracking of student admission applications and maintains waitlist 
  • Support the student enrollment team to meet annual enrollment goals
  • Creates a welcoming environment that engages families and the broader community 

Record Management 

  • Manages a team that supports the collection and maintenance of student records in accordance with city, state, and federal regulations, and generates reports as needed 
  • Identifies irregularities in student and staff records, updates information as necessary 
  • Oversees creation and distribution of progress reports and report cards 
  • Manages student transcript requests, teacher recommendations, and other official school records requests 
  • Coordinates student transportation with the New York City Department of Education 
  • Supervises maintenance of student records in ATS and SIS, generating various reports as needed
  • Supervises organization and maintenance of physical student and staff record files

External & Internal Systems

  • Maintains the accuracy of all DOE systems including but not limited to ATS, School Foods, OPT, Per Pupil, Famis
  • Manages and maintains Brilla’s SIS (Illuminate) & prospective student SIS (Schoolmint)
  • Fulfill all campus based reporting requirements from our SUNY authorizer, governments (federal, state and local), lenders, and trustees
  • Ensure 100% compliance with all pertinent laws, regulations and charter agreements

Qualifications

  • Bachelor’s Degree
  • 4+ years with school-based operations experience

  • Excellent communication skills, both written and verbal, and a keen attention to detail
  • Fluency in Spanish a plus

The base pay range for this position is $110,000-$125,000 per year. Pay may vary within the stated range, depending on job-related knowledge, skills, and experience. A full range of medical, financial, and/or other benefits will be provided.
