Breeze Airways is seeking a highly motivated and energetic Executive Assistant. This role will report to the President of Breeze and provide administrative support to the Executive Team. This critical role will also support the management of our corporate headquarters office located in Cottonwood Heights, Utah. The right individual will be a natural people connector and collaborator with our valued Team Members. Through knowledge of the organization and the responsibilities of key players, the Executive Assistant will facilitate conversations to support open communication with Team Members. Critical thinking, intuition, and the ability to keep confidences are critical to the role, along with high energy and a whole lot of Serious Niceness.

Here’s what you’ll do

  • Provide high-level administrative support and assistance to the entire Executive Team
  • Perform various administrative tasks, drafting and/or proofing letters, memos, invoices, reports, and other documents for senior leadership
  • Arrange travel and accommodations for executives, partnering with Team Travel to ensure all bookings are in alignment with our Travel Policies
  • Ensure Executive Team expense reports are, approved, and processed in a timely fashion
  • Schedule and attend various meetings alongside executives, taking notes and recording minutes
  • Arrange various meetings, including booking space and catering, when necessary, take meeting notes, and help to ensure meetings maintain a focus on priorities
  • Organize, execute, and assist with team activities and events
  • Collaborate with Team Members from all parts of the organization and make sure relevant concerns are elevated
  • Build and organize reporting on key initiatives and metrics
  • Set agendas, record notes and action items, and follow up with executives and other Team Members on key commitments and deliverables
  • Procure office supplies and maintain relationships with business partners
  • Procure breakroom supplies, including snack and drink items
  • Maintain confidentiality and manage communication appropriately
  • Manage the Breeze space at headquarters, including resolving room booking conflicts, handling mail and deliveries, and coordinating with building management
  • Create a welcoming environment for all Team Members and find opportunities daily to wow the team
  • Have the pulse of the team and communicate opportunities to improve
  • Execute other duties and responsibilities as requested by the Executive Team
  • Achieve performance measures and adhere to established standards in conjunction with Breeze Aviation Group Values of Safety, Kindness, Integrity, Ingenuity, and Excellence

Here’s what you need to be successful

Minimum Qualifications

  • 4-year degree from an accredited university or 4+ additional years of relevant experience
  • High performance orientation, ability to work well under pressure, prioritize projects, meet deadlines, and maintain flexibility
  • Initiative-taker must have a cheerful outlook and powerful desire for success
  • Enthusiastic personality and collaborator
  • Ability to function well in a high-paced and at times stressful environment
  • Excellent time management skills with a proven ability to meet deadlines
  • Extensive knowledge of office administration, clerical procedures, and recordkeeping systems

Preferred Qualifications

  • Experience in the aviation or travel industry

Skills/Abilities

  • Extremely proficient with Microsoft Office Suite or similar software with the ability to learn new or updated software
  • Strong planning and strategic thinking
