We are looking for an Administrative Associate to join our team in Lisbon. As a part of our team, you will be supporting our Accounting team by registering sublease contracts on Portal das Finanças, organizing and controlling invoice and rent statements issuance, among other related tasks as needed.

What you will focus on:

  • Support our city core teams with general administrative tasks such as setting up utility accounts for new apartments, troubleshooting issues with existing accounts, logging in invoices into a Google Sheet, etc.
  • Provide assistance to Operations Managers during apartment installations.
  • Provide assistance to Business Development Managers with onboarding of new units, namely preparing memos, new leases, renewals and termination agreements, commission payouts, etc. 
  • Balance workflow processes with independent on-the-go work and desk-based tasks (e.g., email, slack, G-suite, phone).
  • Additional tasks may include:
    • Assist with the coordination of office events and activities.
    • Perform check-in/outs to our properties according to business standards.
    • Conduct in-depth analysis of potential real estate landlords/developers.
    • Perform administrative duties including significant data entry into the company database.
    • Ensure all information is accurately entered into systems and g-sheets.

What we are looking for:

  • Fluent in English & Portuguese
  • Self-starter who is ready to roll up your sleeves and with high ability to work independently.
  • Entrepreneurial drive, adaptability, and focus on results.
  • Strong organizational skills with the ability to manage multiple assignments.
  • Excellent verbal and written communication skills.
  • Proficient in Microsoft Word, Excel, Powerpoint.
  • Great attention to detail to ensure contract terms have been carefully considered and agreed.
