Bluebeam is looking for an Executive Assistant to partner with our CEO to enhance his efficiency and effectiveness.  The ideal candidate will be a detail-oriented, resourceful and collaborative team member who has a proven history of promoting efficiency and effectiveness through effective planning and communication.  Responsibilities will range from administrative duties to the management of projects. 

Description

  • Provides full administrative support at the executive level
  • Conserves executive's time by reading, researching and routing correspondence; drafting letters and documents; collecting and analyzing information; screening telephone calls and managing messages; initiating telecommunications
  • Maintains executive's appointment and travel schedule by actively planning, scheduling and monitoring meetings, conferences, teleconferences and travel across functions and multiple time zones
  • May represent the executive by attending meetings in the executive's absence and/or speaking for the executive
  • Collects and consolidates information from worldwide staff
  • Completes projects by personally contributing and/or acting as an assertive “project manager”, ensuring all involved parties deliver on-time and at the necessary quality
  • Produces qualitative and quantitative reports and information by transcribing, analyzing, formatting, inputting, editing, retrieving, copying and transmitting text, data and graphics
  • Maintains powerful historical reference by developing and utilizing filing and retrieval systems; recording meeting discussions
  • Welcomes guests and customers by greeting them, in person or on the telephone; answering or directing inquiries
  • Maintains employee and customer confidence, protecting operations by keeping information confidential
  • Quickly develops and sustains an understanding of the company’s operations, culture, policies and procedures
  • Organizes meetings across multiple formats (live, videoconference and teleconference calls)
  • Reconcile and prepare expense reports
  • Special projects and other duties assigned, as necessary

 

Education Details

Bachelor’s degree preferred

 

Key Qualifications

  • Minimum of 3 to 5 years’ experience as an Executive/Administrative Assistant
  • Minimum 2 years supporting C-level executive with international travel, expense management and creating of MS PowerPoint presentations
  • Strong verbal and written communication, scheduling, organization, time management and presentation skills
  • Experience managing complex travel and business expenses and reconciliation
  • Strong skills in MS Outlook, Word, Excel and PowerPoint required
  • Excellent organization skills, acute attention to detail, ability to juggle multiple tasks in a fast-paced, and time sensitive environment
  • Demonstrated ability to maintain consistent, professional interactions with Executives within the company
  • Proven track record of meeting deadlines and taking initiative to make confident decisions quickly and under pressure
  • Must possess a “can-do” attitude and maintain professional demeanor in all situations
  • Demonstrates a proactive ability to anticipate needs and changes, then react efficiently with independent/sound judgment
  • Has a passion for learning new things, continuous improvement and sharing best practices
  • Ability to take thematic direction and work with other employees to achieve the stated aim
  • Direct experience dealing with sensitive and confidential information with integrity
  • Determined, self-motivated and eager to take on new challenges
  • Exceptional worth ethic, discrete and trustworthy
  • Ability to influence others; manage conflict appropriately, know when to delegate issues upward
  • Overall ability to understand and retain new information quickly
  • Ability to establish and maintain effective business relationships

  • Able to work overtime, when needed
