Position Overview
We are seeking an Executive Assistant to support the Executive Team at Bloomberg Philanthropies. In this pivotal role you will contribute to the efficiency of the team by providing support that is anticipatory, timely and organized. In this role you'll ensure that the Executive Team is operating at the highest level, through enabling information sharing, smooth workflow and follow through.
Key Responsibilities
- Provide hands-on administrative support to the Executive Team that includes calendar and phone management; including scheduling appointments, arranging and re-arranging meetings, anticipating needs, and ensuring all technological resources are working
- Prepare briefing materials and conduct research ahead of meetings and events
- Draft correspondence and communicate effectively to a diverse range of individuals
- Track and handle all external and internal speaking and event inquiries
- Handle external Board roles and responsibilities, including synthesizing materials and communicating relevant information
- Collaborate across multiple departments and field inquiries to appropriate team members
- Respond to employee questions, prioritize communications to ensure timely responses to issues
- Manage and ensure appropriate follow-ups from all meetings and events
- Assist with Board Member engagement and management including sharing communications and vital information
- Handle all domestic and international travel arrangements and creating and managing trip itineraries, including occasional personal support
- Assist with coordination of critical and sensitive documentation
- Provide project assistance and ad-hoc research support for the department
Required Qualifications and Skills
- 5+ years of executive assistant experience in a fast-paced, high-performance work environment. A Bachelor’s degree is strongly preferred
- Demonstrated interest in non-profit and political organizations
- Outstanding interpersonal and communication skills both verbally and written
- Consistent record of effectively collaborating with senior-level colleagues
- Ability and desire to build and maintain strong relationships with colleagues, and external contacts and stakeholders
- Excellent attention to detail, flexibility and ability to multi-task
- Ability to effectively lead/coordinate projects, and successfully prioritize multiple tasks with good judgment
- Resourceful, motivated, efficient, pro-active and customer service oriented
- Strong technology skills including proficiency in MS Suite specifically Outlook, Word, Excel, and PowerPoint
- Discretion, excellent judgment and consistent track record dealing with VIPs
