BioMed Realty is looking for an experienced Assistant Property Manager to join our team. The successful candidate will work with the Property Management team to support and coordinate all property management, maintenance and construction activities for the company's life science properties in San Diego.

This position offers a hybrid work model, which includes 4 days in office and 1 day remotely. Hybrid work may be modified based on the needs of the company.

Key Duties and Responsibilities

  • Assists with supporting and coordinating property management, maintenance, and construction activities associated with commercial and lab tenants
  • Assists in direction of activities or workers engaged in operating and maintaining several facilities and equipment in buildings such as laboratory, office and manufacturing buildings
  • Performs daily, monthly and bi-annual property inspections including property walks and routine inspections (i.e. vacancy, janitorial, landscaping); Accompany Property Manager on bi-annual asset review inspections, and draft communications/documentation
  • Assists in reviewing, updating and maintaining building operating guidelines
  • Rent Collection/AR: Initial call, maintenance of A/R notes and preparation of late notices
  • Prepares and processes manual billings for tenant services, percentage rent and utility billing
  • Reviews monthly rent statements and distribute to tenants with appropriate supporting documents
  • Ensures the accurate and timely tracking and routing of POs and Invoices
  • Assists with the preparation, routing and tracking of Business Plans (BPA)
  • Prepares RFPs for competitive bids and prepares all service contracts to assure high quality and cost effective services. Assembles and analyzes contract bids, and submits bids, recommendations and standard form contract agreement for approvals in consultation with the PM
  • Prepares initial budget variances for quarterly reporting and assist in preparing budgets on a timely basis
  • Prepares legal notices, i.e., Right of Entry Agreements, hot works letter, shutdown notices, impairment notices, and CAM letters for review
  • Assists in planning and executing Tenant and Vendor appreciation events
  • Attend and participate in all site specific training and property level emergency preparedness planning meetings and drills
  • Reviews all open WO’s (Work Orders) for next steps including scheduling vendor, facilitating communication with PM/FM and closing completed WO’s
  • Regulatory PM’s: Provide scheduling and follow-up with Government agencies and contractors for required inspections/documents.
  • Assists Property Manager and Facility Manager in responding to emergency calls or events; coordinates and assists with on-site communication and coordination with tenants, vendors or law enforcement in response to said emergencies
  • Tenant relationships/communication: Day to day contact, prepares Tenant notices, escalates to Property Manager
  • Answers, screens and transfers calls to voice mail, or take messages to facilitate communications and contacts
  • Perform related duties as assigned by supervisor

Job Specifications

  • Minimum of two years’ experience assisting with real estate/property management with additional clerical support responsibilities.
  • AS/AA degree or an equivalent combination of education, training and additional experience.
  • Computer proficiency with MS Office. Experience with other software and related systems such as card access systems, security and CCTV systems, CMMS programs, automated accounts payable systems and property management accounting systems, as well as MRI experience, a plus.
  • Requires strong verbal and written communication skills, effective organizational and problem solving skills. Self-initiator, with the ability to problem-solve. Requires the ability to maintain an approachable, friendly demeanor and work with competing priorities and demands.
  • Ability to manage staff and develop cooperative and effective working relationships with vendors, contractors and tenants.
  • Must be organized and task oriented, able to work in a fast-paced, team-oriented environment with multiple deadlines, and adapt readily to changing priorities.
  • Ability to communication to tenants, vendors, and contracted firms to prepare reports and presentations, and technical information in a clear and concise manner

Salary Range: $72,800 - $91,000 per year + bonus + benefits
