BioMed Realty is looking for an experienced Assistant Property Manager to join our team. The successful candidate will work with a Property Manager to support and coordinate all management, maintenance and construction activities for the company’s growing portfolio of biomedical and office properties.

This position offers a hybrid work model, which includes 4 days in office and 1 day remotely. Hybrid work may be modified based on the needs of the company.

Key Duties and Responsibilities

  • Assists in directing the activities of vendors engaged in operating and maintaining several facilities and equipment in buildings such as laboratory, office and manufacturing buildings.
  • Perform daily, monthly and bi-annual property inspections.
  • Assist in reviewing, updating and maintaining building operating guidelines.
  • Manage database of key clients and contacts.
  • Oversee accounts payable and receivable for properties, generate purchase orders, code invoices.
  • Assist with budget preparation.
  • Tenant relationships/communication: Day to day contact, prepare Tenant notices.
  • Prepares legal notices, i.e., Right of Entry Agreements, hot works letter, shutdown notices, impairment notices, and CAM letters.
  • Prepare and distribute correspondence, packets, and other information related to property management and operations.
  • Coordinate contract bids and performance reports.
  • Assist with the collection of rent, expenses and any other amounts owing from tenants lease or services performed.
  • Assist in planning and executing events.
  • Monitor and maintain Certificate of Insurance databases as applicable (NP, Origami, CMMS, and FREDD).
  • Provide support or other activities as assigned by supervisor.                                                                                              

Job Specifications

  • Must have a minimum of two years’ experience assisting with real estate/property management/property accounting. Commercial real estate experience preferred.
  • AS/AA degree or an equivalent combination of education, training and additional experience.
  • Computer proficiency with Word, Excel, Outlook required, MRI and CMMS experience a plus.
  • Ability to manage staff and develop cooperative and effective working relationships with vendors, contractors and tenants.
  • Ability to write detailed notes and draft communications to tenants, vendors, and others.
  • Strong verbal and written communication skills.
  • Organized and task oriented, self-starter, able to work in a fast-paced, team-oriented environment with multiple deadlines and adapt readily to changing priorities.
  • Excellent people skills with the ability to develop effective working relationships with staff, vendors, contractors, and tenants.
