Beto for America is looking for an Office Manager to join our growing team at our El Paso Headquarters!
Responsibilities of the Office Manager
Exercise discretion and independent judgement over all expenses related to maintaining a functional office environment including procurement of supplies, negotiating with 3rd party vendors and building management on contracts for services, evaluating costs of services and making decisions that fit within a designated budget.
Managing facilities scheduling including coordinating with building ownership and management, booking shared spaces, and scheduling conference rooms
Managing intern program for those based at the El Paso Headquarters.
Managing administrative volunteers at the El Paso Headquarters
Point of contact for supporter housing for local staff
Running new staff orientation for the El Paso Headquarters including getting them access to the building and creating Wi-Fi passwords, and coordinating first day site tours
Equipment and supply maintenance, procurement, and distribution
Coordinating office-wide events including conference calls
Coordinating with on site security when guests arrive
Distributing mail to the appropriate departments
Coordinating with outside vendors
Helping manage the schedule of the Chief Administrative Officer
Prepare and facilitate agendas for staff meetings
What we are looking for:
At least 2-4 years of experience
Very detail oriented
Enjoys working with lists and spreadsheets on a day to day basis
The ideal candidate would be someone who can develop and clearly articulate processes and policies
Able to build and maintain relationships and maintain buy-in from multiple stakeholders
Comfortable in a fast paced and unpredictable environment with non-traditional hours
