Position Description

The Office Operations Assistant will manage and maintain the successful operations of the office by: answering incoming calls, greeting employees, clients and visitors, and maintaining the overall appearance and organization of the office. This position will also assist with other administrative duties as needed.

Schedule:

Monday- Thursday 8:00am- 5:00pm In Office

Friday: 8:00am- 5:00pm Remote

Responsibilities:

  • Display the highest professionalism and courtesy when interacting with all guests, stakeholders, and employees, whether in person, on the phone, or in video calls.
  • Provide administrative support to executives including scheduling, completing expense reports and light travel booking.
  • Assist with conference room functionality by guiding guests to meetings and connecting audio and video functions for remote participants.
  • Maintain the overall appearance and organization of the office.
  • Manage group lunch order daily.
  • Maintain organization and inventory of groceries and supplies for the office and events.
  • Receive, sort, and route all incoming and outgoing mail and packages.
  • Communicate with IT resources regarding copy/fax/printers, and conference room technology.
  • Keep the Firm’s confidential information private.
  • Contribute positively to the firm’s culture by assisting in office celebrations and events.
  • Assist Administration and Operations team with other related duties.

Qualifications

  • 1-2 years of work experience
  • College degree required
  • Experience with MS Outlook, Word, Excel, PowerPoint, slack, and zoom.
  • Exceptional interpersonal, communication, and customer service skills.
  • Ability to collaborate and work effectively on a team.
  • Strong organizational skills and attention to detail.
  • High integrity in working with confidential information.
  • Ability to demonstrate good judgment, take initiative, problem solve, and multi task.

Compensation and Benefits

The expected salary range for this position is: $90,000- $110,000 total annual compensation. Offered salary may be based on a variety of factors including skills, experience, and qualifications for the role. Other compensation includes carried interest/profit sharing.
