Position Overview

Revivn is seeking an Executive Personal Assistant (EPA) to serve as a critical partner to Anthony Serina and John Fazzolari, the Co-Founders & Co-CEOs of Revivn. This EPA will be a bridge between the Co-CEOs’ personal and business endeavors; the EPA’s contribution to the co-CEOs’ lives allows them to run their company more effectively, have a bigger impact in the world and find time to still prioritize their health, family, and personal lives. As a highly organized, endlessly resourceful person, this EPA will ensure that nothing falls through the cracks.

This is a dynamic role and will be both rewarding and challenging - the EPA will be a key part of the personal and professional lives of Revivn’s co-CEOs, who have distinct working styles and preferences.  The ideal EPA is calm under pressure, poised, proactive, and assertive; they anticipate the co-CEOs’ needs and are confident asking clarifying questions when needed. Relationship & Priority Management

  • Provide daily briefings for the co-CEOs each morning on calendar, tasks, and priorities
  • Manage the co-CEO’s daily, monthly and quarterly engagements through a deep understanding of their relationships and priorities
  • Create systems & processes to manage the reminders and outreach necessary to meet the co-CEOs relationship goals
  • Understand what the co-CEOs need to be successful before and after meetings. Create meeting prep, ensure they have time blocked to review it, and ensure timely follow up and follow through after every contact
  • Take minutes and synthesize action items on behalf of the co-CEO for 1-2 meetings per week. Follow up with appropriate attendees to ensure action items are completed
  • Provide a personal touch for internal and external contacts alike, including reminders and execution on gifts/experiences for important events (birthdays, anniversaries, date night, milestones for friends/colleagues)


Email + Calendar Management

  • Monitor and manage the one of the co-CEO’s inbox and information flow. Quickly assess how to escalate the situation, delegate,  or answer queries/questions independently. Thoughtfully prepare first draft responses as appropriate to emails and requests, on behalf of the co-CEO
  • Act as a calendar extraordinaire for the co-CEOs. Create detailed calendar holds, prep blocks, and incorporate travel time, when appropriate. Prepare the co-CEOs to go into engagements with the background necessary on the meeting and who is attending. Ensure they also have ample time in their schedules to focus on project work and strategic thinking
  • Be prompt and responsive to calendar requests. When priorities change quickly, respectfully communicate to those affected and seamlessly move meetings. Quickly move on scheduling important engagements and politely decline or delegate invitations when appropriate
  • Thoughtfully consider personal matters when scheduling, including family events, school breaks, health appointments, vacations, etc. A job well done here includes thinking ahead of who the CEO may want to send thank you notes or gifts to, and continuously making note of preferences, budgets and messaging

Travel & Event Management

  • Research and coordinate business and personal travel, including RSVPs, flight details, accommodations, transportation, meals/reservations, itineraries, meeting rooms, directions, childcare, etc. Ensure the co-CEOs have all important details easily accessible, in a detailed travel logistics memo
  • Support flight check-in and rescheduling, in the event of cancellation or delay
  • Confirm appointments during travel days
  • Stay up-to-date on mileage/rewards, TSA precheck renewal, and recurring vacations and rebooking timelines
  • Plan small and large events with minimal direction such as Revivn happy hours, team retreats, investor dinners, birthdays, and holiday gatherings. Take care of all coordination, budget allocation, invoice management, and execution


  • Assist with research, registration, and scheduling for personal items (e.g. summer camp options, date night restaurants, car detailing, Instacart orders, etc)
  • Receive mail and take action (e.g. bill paying), elevate (prep for co-CEO signature), delegate, or shred
  • Organize and systemize physical and digital file systems
  • Some assistance with personal errands in the Brooklyn area (e.g. picking up drycleaning, picking up something at home, dropping dog off at the groomer, picking up lunch from a nearby location)
  • Coordinate and manage vendors and contractors at office and/or residence (e.g. work with plumber to schedule maintenance)
  • Launch and/or manage complex work streams and projects (e.g. renovations or a summer move out of state)
  • Keep Revivn’s office and kitchen tidy and organized. Monitor and maintain office supply inventory
  • Build systems and streamline processes for facilities and make sure they are implemented appropriately and effectively.
  • Prepare and review reports, meeting minutes, copy edit, and summarize documents as requested.
  • Other duties as assigned


  • 3+ years of experience as an Executive Assistant, Personal Assistant, Operations Manager, project management role, or similar in a fast-paced environment
  • Start-up savvy: You have a high sense of urgency, the ability to work efficiently, juggle multiple projects with appropriate prioritization, adhere to quick deadlines, and adapt to evolving circumstances through critical thinking. You’re ambitious and you bounce back quickly from setbacks. “That’s not my job” does not cross your mind
  • Self-starter: You don’t sit on your hands with a low workload. You recognize that sometimes delegating takes time and effort, so you make a conscious effort to seek out tasks and manage your own workload. You see problems, come up with solutions, and take ownership of what it takes to get there
  • Resourceful. You thrive on being told something isn’t possible and then figuring out how to get it done. You’re confident that when something looks like it can’t be done, there is a way, and you’ll be the one to figure it out
  • Confidence: You’re not intimidated by the co-CEOs or other team members. You know how to manage up, keep us on task, give honest feedback, and push back when it’s in our best interests
  • Responsive & Proactive: You anticipate needs and think ahead before someone even thinks to ask. You make sure that you ask questions well ahead of time, not leaving things last minute
  • Communication: You’re an active listener and record everything that’s said, written, or texted and nothing slips through the cracks. It is rare for someone to have to ask you twice about something.  You aim to be clear and concise with every communication so that your recipients understand the purpose and what you need from them after a quick scan of your email. You enjoy synthesizing information and creating communications of varying complexity for different audiences. You communicate to others when deadlines need to change in lieu of more pressing projects 
  • Team Player: You’re not above any task because we’re all in it together. You support others on the team with your organizational superpowers. You are naturally curious, always desire to learn, and working at a mission-driven company is important to you
  • Experience in exercising sensibility, discretion, and diplomacy in handling all matters, information, and relationships (including confidential or sensitive information)
  • Ability to work in office and remotely (3-4 days in office) Monday through Friday during normal Eastern Time business hours with responsiveness outside of normal business hours (i.e. travel cancellations, canceling tomorrow’s meeting, etc)

Salary & Benefits

  • Salary Range: $60-80K annually
  • 3 weeks of PTO plus 6 paid holidays
