Do you have exceptional organizational and communications skills, with an obsessive attention to detail? Are you easily approachable, dynamic, and proactive? Bardel’s Vancouver studio is currently recruiting for an experienced Executive Assistant & Receptionist to join the team. Reporting to the CEO/COO, the Executive Assistant & Receptionist will be instrumental in supporting the CEO and the COO with high-level business functions. 

What you will be doing: 

  • Coordinate the schedule, contacts, and calendar of the CEO & COO including appointments, events, trade shows and other business related activities 
  • Anticipate the needs of the executive, ensuring they are in the right place, at the right time, for the right reasons 
  • Handle the senior management team’s business travel arrangements for domestic and international travel 
  • Coordinate hotel bookings and arrangements for out of town visitors 
  • Communicate with Italian partner studio and organize conference calls and meetings with productions, executives and clients 
  • Take meeting minutes and distribute notes 
  • Other administrative duties as required (reception, filing, drafting documents, etc.) 

What you bring to the table: 

  • Min. 2 years experience directly supporting senior business executives or in a senior administrative role 
  • Outstanding organizational skills with obsessive attention to detail 
  • Excellent written and verbal communications skills 
  • Team-based approach 
  • Strong judgement skills and unwavering commitment to maintaining confidentiality 
  • Advanced skills in Microsoft Office and Google Suite 
  • Ability to prioritize and multi-task in a fast-paced environment 
  • Flexibility to be available outside of normal work hours to provide support on urgent matters or to meet tight deadlines 
  • Experience supporting Executives at an Animation/VFX studio is a plus
  • Fluent in Italian language skills, both written & verbal is a plus
