Your Impact:


We are seeking a proactive and detail-oriented Administrative Support Specialist to join our world-class Axon Legal team. This role requires a professional adept at combining administrative support with specialized legal and financial assistance in a fast-paced legal environment. The ideal candidate will be SMART, ADAPTABLE, and UNSTOPPABLE - ready, willing and able to assist in all areas of our growing Legal team. Basic knowledge of legal and financial processes is a plus - enabling them to effectively manage legal documentation, oversee administrative tasks, and ensure smooth day-to-day operations. Responsibilities include assisting with management of the Legal team’s budget, overseeing the Procure-to-Pay process, and providing general administrative support.

What You’ll Do:

Procurement Process:

  • Vendor Support and Maintenance: Partner with the appropriate Legal team member for outside counsel and vendor management and support.
    • Outside Counsel Management Support: Assist in the coordination and management of outside counsel engagements.
    • Purchase Orders: Generate and process purchase orders, ensuring compliance with company policies.
    • Invoice Processing: Review and approve vendor invoices according to company billing guidelines, ensuring they align with purchase orders and contracts. Resolve discrepancies and process payments in a timely manner.
  • Budget and Accrual Management/Liaison:
    • Budget Support: Assist in monitoring and managing the legal department’s budget along side the budget owner. Track expenditures, prepare budget reports, and support the analysis of financial performance under the guidance of department leadership.
    • Accrual Management: Oversee the accrual process by recording and managing expense accruals and adjustments. Ensure accurate and timely reporting of accrued expenses.
    • Reconciliation: Work with the finance team to reconcile accounts, address discrepancies, and help ensure accuracy in financial reporting.

Administrative Support

  • Attorney/Paralegal Support: Provide a wide range of administrative and operational support to Legal team members.
  • Communication Management: Review and delegate incoming and outgoing communications from the Legal department inbox, mail and voicemail.
  • Department Workflow Coordination: Assist in coordinating workflow within various Legal departments within ServiceNow tracking system.
  • Signature Coordination: Coordinate requests for signature (wet signature and DocuSign).
  • Document Management: Maintain and update administrative records, including but not limited to contracts and policy documents. Ensure proper document retention and confidentiality. Assist with requests for various documents as needed.
  • Contract Lifecycle Management (CLM) Maintenance: Assist in maintaining Axon’s CLM (ContractPodAi) including but not limited to creating contract records, basic document generations, and template maintenance.
  • Meeting Coordination: Organize and coordinate internal and external meetings, including preparing agendas, materials, and taking minutes when required.
  • Process Adherence and Improvement: Ensure that administrative and financial processes comply with company policies, including purchase order requisitions reviews and approvals. Continuously evaluate and improve processes to enhance efficiency and accuracy and implement best practices and recommend improved processes.
  • Legal Liaison: Serve as liaison to direct business partners to the appropriate individual or department within Legal. Partner with other Axon teams (e.g. Accounts Payable, PeopleOps, etc.) to obtain information needed to complete various forms.
  • Other duties as needed

What You Bring:

  • High school diploma or equivalent required; associate’s degree or higher in business administration, finance, legal studies, or a related field preferred.
  • Minimum of 1 year of experience as an administrative assistant preferred, with previous exposure to legal and financial administration.
  • Demonstrated track record of intellectual horsepower, bias for action, and a pass-first attitude.
  • Demonstrated ability to successfully work with a team and in a fast paced, dynamic team environment.
  • Understanding of budget management, accrual processes, and financial reporting. Experience with financial software and tools.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and experience with legal and financial management software (e.g., CLM software, D365, Legal Tracker).
  • Strong attention to detail and organization/prioritization skills with exceptional organizational and multitasking abilities, and a keen attention to detail and accuracy.
  • Strong written and verbal communication skills, with the ability to handle sensitive information and interact professionally with other Axon departments, vendors, customers and outside counsel.
  • Ability to quickly learn legal terminology, procedures, and documentation.
  • High ethical standards and professional integrity.

The Pay: Axon is a total compensation company, meaning compensation is made up of base pay, bonus, and stock awards. The starting base pay for this role is between USD 65,850 in the lowest geographic market and USD 105,360 in the highest geographic market. The actual base pay is dependent upon many factors, such as: level, function, training, transferable skills, work experience, business needs, geographic market, and often a combination of all these factors.
